Job Summary:

The Director of Advancement Services is responsible for the executive leadership and administrative oversight for the adherence to all gift accounting standards; establishing and maintaining the fiscal administration of grants (other than federal grants) received by the university’s institutionally related foundation; serving as the university’s liaison to the foundation; and supervising staff in their performance of assigned duties. The individual will also serve as the Executive Director and Secretary of the Jacksonville State University Foundation and is responsible for its day-to-day operation.



Essential Functions:

  • Manages a gift accounting system that ensures donor confidentially, compliance with generally accepted accounting and auditing standards and IRS regulations, quick and accurate processing of gifts and pledges, and timely notification of pledge payments.
  • Reviews all non-cash gifts to ensure that they are properly valued, recorded, and acknowledged, and that necessary IRS forms are completed, environmental evaluations are conducted, and property deeds are appropriately filed.
  • Responds in written or oral form to donors regarding questions about their gifts or pledges, university or foundation policies, IRS regulations, and other issues concerning private giving.
  • Supervises the compilation of the annual reports and surveys of private giving to the university.
  • Oversees the compilation and dissemination of gift and campaign reports, prospect management lists, stewardship reports, endowed fund histories, and lists for special events.
  • Compiles information and writes documents and correspondence that promulgates foundation and or university policy, procedures, and guidelines concerning private gifts to the foundation and university and to activities of university support groups.
  • Provides accurate information about prospective donors to development staff by identifying and researching potential individual, corporate, foundation, and organization donors.
  • Oversees the creation and management of a prospect research program, providing strategies for identifying new prospects, and conducting searches to match prospects to specific projects.
  • Develops, with the Foundation Board, plans for Board membership and development; participates in fund raising activities; oversees financial, physical, and real estate operations; provides endowment support and prepares and manages the foundation’s operating budget.
  • Assures the fiduciary responsibility required by the Foundation’s Board of Directors to meet their obligations under the bylaws, policies and procedures authorized by resolution and direction.
  • Conducts departmental strategic and long-range planning.
  • Develops and maintains departmental budget.
  • Provides department and the JSU Foundation with executive and managerial leadership.
  • Assures annual financial audit of the foundation.
  • Serves as Executive Director and Secretary of the foundation’s Board of Directors.
  • Manages reports and makes recommendations regarding the foundation’s real estate holdings.
  • Assures compliance of the foundation’s investment policy and evaluation of results of investment managers and reports and makes recommendations to the foundation’s finance and executive committees.
  • Reviews and recommends all policies and procedures related to foundation risk management and insurance.
  • Develops and maintains a policy and procedure manual for the foundation’s operations.
  • Manages arrangements for all board and subcommittee meetings and special events, assuring accurate agendas, notification, and minutes.
  • Responsible for all phases of the foundation’s accounting cycle from the initial gift entry to the preparation of the audited financial statements and reports, including the accounting functions of receipting disbursements, journal entries, reporting and internal controls.
  • Responsible for quality of the information in the fundraising database and gift entry, mailing of receipts and acknowledgements.
  • Serves as liaison with the investment managers, investment consultant and the master custodian for the foundation’s endowment.
  • Monitors adherence to institutional, legal, and federal guidelines related to restricted and endowed monies of the foundation.
  • Serves as a liaison and contact for administration, faculty, staff, and the community.
  • Performs other duties as assigned.


Required Minimum Qualifications:

  • Bachelor's degree required. Master’s degree preferred
  • demonstrated management experience, preferably in the higher education environment
  • Valid Drivers' license. (Travel reimbursement at state rates.)
  • CFRE preferred
  • CPA preferred
