Summary
The Research Administration Associate position in the Human Genome Sequencing Center (HGSC) assists with oversight and provides support for the administrative and financial operations the Human Genome Sequencing Center, a world-class Research Center with an annual budget of >$40M per year. The primary focus of this position is to participate in the pre- and/or post-award activities for the Center's research portfolio, with an emphasis on post-award grants management.
Job Duties
• Assists with oversight and support for the Center's administrative and financial operations, particularly related to sponsored research.
• Participates in annual budget process.
• Participates in pre- and/or post-award grant management activities.
• Assists with agreement negotiations, preparation and close-out.
• Maintains records for each grant or account, including applications, awards, communication with sponsor, etc.
• Compiles, reviews and reconciles grant/contract accounts for accuracy and completeness.
• Reviews, interprets and monitors contract requirements and restrictions for compliance with federal regulations, sponsor requirements and standard operating procedures.
• May prepare/review financial entries and transactions such as journal entries or purchase orders.
• May participate in time and effort management and review.
Post-Award Grant Management Activities
• Prepares and reviews grant account activity monthly and meets with faculty to ensure proper allocation of funds and avoid over- or under expenditure.
• Reviews expenses against funding guidelines and provides guidance to faculty and their teams.
• Supports faculty in the development and submission of progress reports, noncompeting continuations, no-cost extensions, and carryover requests.
• Prepares outgoing subcontracts and reviews incoming subcontracts.
• Approves, tracks and reconciles subcontract payments.
• Ensures proper review and necessary corrections for annual and closing financial reports.
• Ensures salaries and expenses appropriately sourced in the financial accounting system SAP.
Pre-Award Grant Management Activities
• Prepares grants and subcontracts submissions using internal (BRAIN) and external (sponsor) systems.
• Reviews RFAs and assures compliance with all guidelines.
• Works closely with Principal Investigators to develop proposal budgets, assemble, review and submit applications, and prepare subcontracts documents.
• Reviews and approves grant applications and associated budgets, certifying summary data in the College's electronic Biomedical Research and Assurance Information Network (BRAIN) on behalf of department leadership.
Minimum Qualifications
- Bachelor's degree.
- Two years of relevant experience.
Preferred Qualifications
• Three years of experience in post-award administration with responsibility for budget development and monitoring, and grants management activities, including annual reporting.
• Ability to produce accurate work product with minimal oversight.
• Proficient in Word and Excel.
• Advanced Excel skills (an Excel test may be administered as part of the interview process).
• Proven experience in management of a variety financial projects.
• Knowledge of federal policies for grant administration.
• Excellent interpersonal, verbal, and written communication skills and ability to work with faculty, peers, and a wide variety of other stakeholders.
• Ability to work independently, take ownership of assigned work, and take initiative.
• Ability to prioritize and manage a high volume of diverse tasks in a deadline-driven environment, with accuracy and attention to detail.
• Experience with large-scale accounting/financial platforms (SAP, Business Warehouse, etc.).
