Position Summary
The Office Coordinator is responsible for a wide range of office management and coordination in support of the Information Technology Services ( ITS ) department and reports directly to the Chief Information Officer ( CIO ). This position is responsible for office management, schedule coordination, research, and a variety of tasks in order to assist the CIO and division leadership. This position requires a commitment to providing high levels of customer service to every customer and visitor, effective communication skills, the ability to exercise appropriate judgment in a variety of situations and effective organizational skills.
Essential Job Functions of Position
•The Office Coordinator for ITS serves as office manager, subject matter expert and resource regarding administrative actions and campus processes for the division.
• Responsible for providing exemplary customer service to everyone who contacts the office.
• Performs research on various topics as requested to assist leadership.
• Supports the CIO and division’s leadership through records coordination and control, information gathering, budget control, invoice payment and office workflow.
• Effectively manages office processes and assists in the completion of forms etc., for the execution of processes to complete necessary tasks as required.
• Assists with budget accountability and controls, inventory control, purchasing, invoicing and other special assignments as assigned.
• Collects, compiles, and prepares reports and/or materials for division leadership concerning departmental budgets, statistical data, historical information, and other specialized information as requested.
• Coordinates schedules with internal and external individuals, groups, and assets on behalf of the department.
• Drafts, edits, processes and handles communications for the ITS leadership team as requested.
• Completes and/or processes administrative forms and procedures on behalf of ITS leadership.
• Apprises ITS leadership of pending circumstances and/or events and maintains effective communication with department leadership.
• Tracks information on purchase requests and payments to ensure prompt payment.
• Performs additional job-related duties as assigned or as appropriate.
Non-Essential Job Functions of Position
Serve on university committees as requested or assigned.
Education and Experience
Bachelor’s degree or a combination of post-secondary education and additional administrative support experience equivalent to a bachelor’s degree.
Preferred: Previous Banner and working in higher education experience.
Knowledge, Skills & Abilities
Microsoft Office experience. Effective communication skills.
Preferred: Experience in a technology environment.
