Summary

The senior research coordinator manages the daily activities of the Substance Abuse and Mental Health Services Administration (SAMHSA) federal grant that is being administered in the Department of Psychiatry and Behavioral Sciences at Baylor College of Medicine (BCM). This grant is a $4 million grant to the City of Houston in Partnership with BCM. The grant provides Houston-area students with mental health screenings and resources led by the principal investigator (PI). The ideal candidate for this position is someone who is organized, detail-oriented, a great communicator, and passionate about behavioral health research and services.

This is a senior level position. The person in this role will report directly to the PI and manage the daily activities of care delivery and coordination of the grant. The person filling this position will need to ensure accurate data collection, documentation, and organization of operations involved in the grant. This person is responsible for all administrative and research coordination on behalf of BCM. He or she may supervise other staff and will work closely with local and federal officials to ensure success in achieving grant goals.

This project grant serves at-risk children and adolescents, ages 9-17, who are experiencing serious, persistent mental illness. This grant provides at-home therapy to allow children and adolescents to stay engaged in their community and in their schools. The senior research coordinator may occasionally need to be available after 5 pm for assistance. He or she will also need to demonstrate professionalism while coordinating with multiple hospital systems on behalf of BCM including Texas Children’s Hospital (TCH), Harris Health System, Menninger Clinic, Harris Center, Veteran's Mental Health Care Line, Legacy and Depelchin's Children's Center.

Job Duties

Clinical and Research Coordination (80%)

  • Manages the daily operations of the SAMHSA grant pertaining to patient information records and regulatory documents for the research study and clinical care
  • Collects patient information; processes documents and enters information into a “SPARS” database and assists in maintaining the IRB procedures and processes
  • Communicates with IRB regarding submissions and renewals
  • Participates in screening and consent process
  • Maintains informed consent forms for clinicians
  • Orders supplies and equipment for clinicians
  • Ensures grant funds are appropriately distributed
  • Ensures timely implementation of the grant
  • Manages all regulatory documents for research study and clinical care of the grant
  • Maintains team relationships with peers, colleagues, patients, and sponsors to effectively contribute to goals
  • Provides feedback to supervisors regarding staff performance
  • Works closely with teams involved in the grant on the local, state, and federal level
  • Maintains regular communication with the City Grant Officer, and various agencies engaging in the grant goals and objectives
  • Responsible for regulatory oversight and compliance of the grant project
  • Schedules and organizes necessary regulatory meetings as outlined by the grant
  • Coordinates and liaisons between BCM, TCH, and Ben Taub Hospital SAMHSA sites
  • Creates and monitors timelines for project compliances
  • Provides insight on maintaining productivity and efficiency on project
  • May supervise other staff and will work closely with local and federal officials to ensure success in achieving grant goals


Community Outreach (20%)

  • Collaborates directly with the program manager at the City Mayor's Office of Education, on the productivity of the grant
  • Serves as a liaison for regular communication between BCM and the City Grant Officer
  • Serves as a liaison between BCM, TCH, and Ben Taub Hospital for the multiple SAMHSA sites
  • Develops an advisory board to provide detailed implementation plan with partners and board
  • Oversees implementation of project activities, internally and externally, to help coordinate event conferences


Minimum Qualifications
  • Bachelor's degree in a Basic Science or related field. Four years of related experience may substitute for degree requirement
  • Five years of relevant experience


Preferred Qualifications
  • Bachelor's degree in basic science or applied health or a related field
  • Master’s degree in mental health, public health, or related
  • Master’s degree and three years of experience may be considered in lieu of five years of experience
  • Bilingual in Spanish
  • Experience with HIPAA compliance
  • Experience with data management in an academic or healthcare setting
  • Some familiarity with behavioral health terms and concepts
