About the Opportunity:
The Administrative Assistant in the D'Amore-McKim School of Business serves as administrative and operational support for academic advising.

Responsibilities:
With oversight from the Assistant Director of Undergraduate Advising, the Academic Assistant will:
  • Manage requests for letters from students to confirm enrollment and/or degree progress as appropriate.
  • Work with appointment reports, manage cancellations and rescheduling.
  • Manage “drop-in” zoom breakouts during the first week of the term, registration week and during other high traffic times as needed.
  • Support Directors, Asst Directors and Advisors with projects as needed.
  • Support programs and events that enhance the student experience.

The Administrative Assistant will also support the Undergraduate Programs Office by serving as backup to provide reception coverage during lunch and as needed during other times. The position will support special events and workshops hosted by the Undergraduate Programs Office.

Academic Advising Support: Support advising activities by managing administrative processes that facilitate student progress. Maintain written documentation on all student contact by utilizing the appropriate documentation system. Addresses request for forms, letters and approvals in a timely and accurate manner.

Administrative Support & Customer Service: Serves as backup to the reception. Helpful and responsive in providing customer service to students, the public, other University employees and parents when appropriate. Willing to help all parties in a timely and professional manner and ensure that the service is both complete and accurate. Focuses on assessing, understanding, meeting and exceeding customer expectations (both internal and external). 24-hour response to emails and phone calls is expected. Supports Directors and Advisors with projects that help sustain the academic advising functions of the office.

Qualifications:
Bachelor's degree required. Previous college/university experience within an academic setting is a plus. Should enjoy working with students. Knowledge of student development theory is a plus. The successful candidate will:
  • Have excellent computer (Excel and Word), written and oral communication skills.
  • Be comfortable with video-conferencing technology (Microsoft Teams and Zoom).
  • Be detail-oriented and work with precision.
  • Keep calm under pressure.
  • Be able to communicate and interact effectively with diverse backgrounds and across multiple levels.
  • Demonstrate qualities that facilitate collaboration in a team-oriented environment.
  • Value and provide confidentiality around sensitive issues and have the ability to determine appropriate levels of communication around sensitive information.
  • Effectively set goals, multitask and manage time.
  • Display self-motivation and initiative.
  • Be motivated to gain a broad knowledge base of the portfolio of academic programs offered.
