Vacancy Number: S-00670 Position Title: Administrative Associate Classification Title: Administrative Associate Department: Theatre Operations Employment Type: Full-Time Duties and Responsibilities:
The department of Communication and Theatre is seeking an Administrative Associate. The overall job functions are to support the mission of the department, the mission of the College and the mission of Auburn University at Montgomery.
For each of the four Theatre productions each academic year the Administrative Associate will:
Procure royalties, order scripts, attend production meetings, announce auditions, craft publicity artwork including designing and printing posters, announce performances, design and print theatre playbill, design and print tickets, attend at least one dress rehearsal and all performances, complete daily ticket and concession sales paperwork, audit production/cashier paperwork, production bookkeeping, process donations
Coordinate front of house operations to include reservations, ticket office and sales, greeting patrons, operating concession, assisting with event planning and opening night reception, curtain speech, working with student stage management team and ushers, and helping to facilitate emergency plan/evacuation/medical/other
Budget and reconcile the annual theatre season
Maintain audition list and patron list, audience development, social networking; Maintain theatre production archives
Maintain theatre Inventory and area specific Supplies, Purchasing, coordinate area specific Shipping and Receiving
Assist with student organization: Theatre AUM Guild ( TAG )
Maintain theatre program memberships in professional organizations
Assist with theatre recruiting fairs
Arrange Theatre Guest Artist Details
Coordinate and Process Team Travel
Assist with assessments
Process Hiring, Timesheets, and Scheduling for Student Assistants and Peer Mentors
Attend department meetings, university/college staff meetings, and campus training sessions
Knowledge, Skills, and Abilities:
Theatre skills such as scenery, electrics, costumes, properties and sound
Knowledge of word processing software and the ability to operate standard PC/PC software applications
Knowledge of Excel and other spreadsheet software
Knowledge of applicable university policies and procedures
Knowledge of general office procedures and professional office behavior
Knowledge of assigned department forms, rules, etc.
Interpersonal skills and cultural competence
Oral and written communication skills
Analytical skills
Ability to review materials and identify discrepancies or mistakes (i.e., proofreading)
Ability to perform basic mathematical computations
Ability to respond to several demands at one time
Ability to prioritize assignments
Ability to coordinate the work of others
Minimum Qualifications:
High school diploma or equivalent and two (2) years clerical/administrative experience. Additional relevant education may be substituted for experience requirement.
The successful candidate will provide administrative support for Theatre Operations and must be available some evenings and some weekends during scheduled theatre productions and recruiting fairs.
