Job Summary:

Reporting to the Operations Director, the Faculty Support Coordinator - Events and Gallery Specialist ("Coordinator") is a member of the Ifill College professional team that supports the needs of The Gwen Ifill College of Media, Arts, and Humanities. The Coordinator will provide organizational and administrative support for the Trustman Art Gallery and related collections, as well as serve as the primary events liaison for Ifill College. The Coordinator will collaborate and work with internal colleagues and external partners ensuring logistics for Gallery related programs and College-wide events are efficient and successful.

This position requires keen interpersonal skills, exceptional judgment to facilitate collaboration and communication among diverse groups, and the ability to proactively solve problems and/or independently handle issues, promoting a culture of inclusion and responsiveness through customer-centric support, and will promote the reputation of the Ifill College and as well as the Trustman Art Gallery. The incumbent is responsible for a variety of office management and administrative duties, assists the Trustman Gallery Director, and works collaboratively with the other Faculty Support Coordinator.

Essential Functions:

Faculty Support and Events Coordination
  • Serve as the primary administrative support for Ifill College events, including the Gallery;
  • Coordinate annual schedule of Ifill College events;
  • Serve as the key liaison for other campus partners for events planning and execution (e.g., communications and marketing, catering, campus security, technology, facilities, etc.);
  • Create and track costs and budget for events, expenses for departments;
  • Secure appropriate permitting and venue contracts for all events as needed;
  • Maintain records on event activities, progress, status, and post-event summary.


Support for the Trustman Art Gallery and other Collections
  • Budget support for payment of artists, students, coordinates internal and external invoices
  • Assist Gallery Director with exhibit installation, including Liaising with artists to facilitate delivery, installation, and removal of artwork for Gallery exhibits;
  • Document and maintain appropriate paperwork for the security of gallery installations;
  • Facilitate scheduling for College-wide use of the Gallery;
  • Assist Gallery Director in ensuring proper maintenance and conservation of the art in the College, including storage space (e.g., temperature, humidity);
  • Maintain the database of the University Collection;
  • Coordinate placement of artwork across the University, from University Art Collection and other Ifill College collections, as needed.


Communications
  • Collaborate with Departments, Marketing and Communications to create internal and external facing collateral materials (e.g., flyers, social media) to meet event needs and sponsor requirements;
  • Coordinate public outreach related to the Gallery and other Ifill events, including maintaining an outreach database;
  • Manage website updates for events, including calendars and exhibit details in the Gallery and Ifill College;
  • Respond and serve as a resource for media and inquiries for the Gallery, under the direction of the Director.


Student Work Program (Specialist)
  • Coordinate student staffing for the Gallery during open hours;
  • Hire and deploy studio arts student workers;
  • Maintain the source list of models for studio art classes;
  • Train and manage event student workers.


Qualifications:
  • Bachelor's Degree in a relevant field and/or minimum of two to three years of relevant professional experience required;
  • Experience as administrative assistant, including budget support required;
  • Professional art gallery or museum experience a plus;
  • Event planning experience a plus;
  • Prior experience in higher education administration a plus;
  • Design experience a plus;
  • Excellent verbal and written communication skills;
  • Strong Interpersonal Skills
  • Exceptional planning and organizational skills;
  • Ability to take initiative and ownership of projects;
  • Proven ability to perform duties with a high level of professionalism, flexibility, discretion;
  • Ability to multitask, adapt to changing priorities, meet deadlines, and demonstrate strong problem-solving skills;
  • Ability to work well with culturally diverse populations within an organization;
  • Available to work some nights or weekends to support event needs;
  • Ability to lift 30lbs or more.
