Under general supervision oversees the day-to-day operations of business for Texas Southern University Department of Public Safety.

Essential Duties Summary

• Handles confidential and sensitive information.
• Plans, organizes, and monitors the financial activities of the agency and prepares the agency’s financial reports. Oversees the agency’s administrative expenditures; oversees the development and timely submission of the agency Monthly Cash Flow and Appropriation Tracking reports to Agency Leadership.
• Develops strategies, and when appropriate, designs implement plans for reducing Department expenses, increasing operational efficiency, integrating new technologies.
• Process expense reports and invoices; tracks progress of payments and monitors outstanding accounts
• Monitors, provides preliminary approval, and ensures compliance with budget of all submitted expenses.
• Monitors accounts in preparation of expenditures to include purchase requisitions, expense authorizations, travel expenses, and payroll transactions.
• Provides flexible reports to include revenue and expense analyses of practice, research, institutional and discretionary funds presented by account type, division, program, and in consolidated form for the Department.
• Monitors and distributes mail from the general email account.
• Coordinates and facilitates monthly budget meetings with command staff.
• Maintains database of professional licenses and contracts & executive memberships.
• Process purchase orders as directed.
• Ensures that all items are invoiced and paid on time.
• Compiles and processes data to maintain routine reports, prepares periodic reports.
• Types, proofreads and edits correspondence, reports, requisitions, etc.
• Organizes and maintains record keeping, researching and preparing simple reports.
• Works as liaison, with vendors conducting business with the department.
• Maintains administrative records and documents pertaining to the accounts.
• Assist in maintenance of accurate and up-to-date files and purchase logs.
• Compiles data from reports using required knowledge of departmental and/or university policies and procedures.
• Serves as administrative liaison with others within and outside assigned areas regarding administrative issues on purchasing, personnel, facilities and operations.
• Assists with ad hoc office projects.
• Performs other job-related duties as assigned.

Hiring Range $48,273.00 - $60,341.00 Education

Bachelor’s degree or higher or equivalent combination of education and experience.

Master’s degree and/or professional certification in business, accounting or other related field preferred.
