General summary/purpose:

Reaching Impact, Saturation, and Epidemic Control (RISE) is a 5-year global project funded by the U.S. President’s Emergency Plan for AIDS Relief (PEPFAR) and the U.S. Agency for International Development (USAID). RISE works with countries to achieve a shared vision of attaining and maintaining HIV epidemic control, with stronger local partners capable of managing and achieving results through sustainable, self-reliant, and resilient health systems by 2024. RISE’s contributions to this work will lead to fewer new HIV infections, decreased HIV-related morbidity and mortality, and increased quality of life for people living with HIV.

RISE is seeking a Program Administrator to support central management of the RISE global award. The Program Administrator will provide centralized support for administrative, operational, communications, knowledge management, and other cross-cutting functions for this multi-country program. The Program Administrator will also support centrally funded HIV technical initiatives and may also provide support to one or more RISE country programs

Specific duties & responsibilities:

  • Provide cross-cutting programmatic support to the RISE global program in close collaboration with the RISE leadership team, project partners, country teams, and other Jhpiego departments
  • Schedule standing and ad-hoc meetings with USAID, RISE partners, and others as needed. Take notes including follow-up action items and persons responsible
  • Liaise with GPO country / portfolio SPCs to ensure that RISE country teams are supported with RISE templates, SharePoint support, email list servs, etc.
  • Assist with quarterly, semi-annual, and annual reporting, working with the SPM, SPOs, MEL, and others to coordinate report inputs, copy edit, and assist with layout/formatting
  • Provide backstopping support to one or more RISE country programs, working closely with GPO, technical contributors, finance, M&E, and other functions
  • Support knowledge management functions including maintaining the RISE SharePoint site and working with Jhpiego’s communications team to update the project’s external website
  • Provide light editing and formatting of project reports, technical documents, presentations, and other communications materials; serve as point person for engagement with Jhpiego external communications and publications support for more extensive formatting, copy editing, translations, etc.
  • Draft, review, edit, maintain, and/or format program materials (e.g. tracking sheets or other management tools, project briefs, etc.) in coordination with the RISE leadership team
  • Ensure all project deliverables are uploaded to the USAID DEC
  • Maintain RISE’s entries in the internal Jhpiego CRM system and other organizational tracking or management systems as required
  • Hire/pay US based vendors including consultants or other contracts paid from the US, working closely with the RISE leadership team and contracts management department
  • Procure items from US via internal Jhpiego procurement system
  • In collaboration with the RISE leadership team, the communications team, and others, organize logistics for events, meetings, or international conferences.
  • Ensure compliance with Jhpiego and JHU operational policies and regulations
  • Develop and maintain excellent relationships with internal and external colleagues and among partners

Cross-cutting Internal:

  • Support onboarding new SPCs
  • Participation in meetings, meeting notes and action items
  • Update GPO documents for global program
  • Additional items as needed

Minimum qualifications (mandatory):

  • BA or equivalent with 2+ years’ professional experience; specialty in public health preferred
  • Very strong writing skills
  • Very strong organizational skills
  • Very strong problem solving skills
  • Ability to work in a complex environment with multiple tasks, short deadlines and intense pressure to perform
  • Aware of and sensitive to working in multiple socio-economic settings and with multi-cultural groups in a developing country environment
  • Availability to travel independently in new environments

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
