Job Summary
The Enrollment Services Specialist I provides support services to students, staff and visitors regarding registration and student records policies and procedures. The specialist is able to work independently in a fast-paced, ever-changing environment, and practices effective time management in accomplishing assigned duties while delivering exceptional customer service.
This position serves as the first point of contact for the office and requires a broad range of knowledge of FGCU (including policies and procedures) with more in-depth knowledge of the Registration/Records processes and general knowledge of financial aid and scholarships.
Job Description
Typical duties may include but are not limited to:
Provide exceptional customer service to all constituents including students, internal staff and faculty, parents and all parties in contact with the enrollment services center in-person, via telephone or email.
Counsel, advise, investigate, problem-solve, and resolve general issues from current and former students; parents; faculty; staff; and other third parties regarding registration (add/drop/withdrawals), pin numbers, reinstatement, holds, transcripts, enrollment verification, and student records.
Evaluates and processes Authorization to Release Information to a Third Party (FERPA), Change of Address/Email, Change of Name/Gender, Drop and Add, Request for Reinstatement, Term Withdrawal and Transcript Request forms.
Assists with residency reclassification by communicating application process to students, parents, faculty/staff based on applicable state law and collecting residency documents for review.
Provides support for the Florida Virtual College and may process concurrent enrollment for students attending other institutions to ensure eligibility for financial aid awards.
Provides support to the Senior Citizen 60+ Auditing Registration and State Employee waivers.
Assists with monitoring general office email account, fields inquiries and escalates to appropriate staff.
Accurately process student forms, documents and other information necessary to complete transactions and procedures.
Open, sort and distribute all incoming mail
Scans and indexes paper documents.
Assists with recruitment, including but not limited to Eagle Expo and Eagle View Orientation.

Additional Job Description
Required Qualifications:
High school diploma or equivalent.
Three years of relevant full-time general office experience.
Any appropriate combination of relevant education, experience, and/or certifications may be considered.
Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, and Outlook).
Preferred Qualifications:
Bachelor’s degree from an accredited institution in an appropriate area of specialization.
Work experience in a higher education setting.
Experience with Student Information Systems and Document Imaging Software.
Knowledge, Skills & Abilities:
Knowledge of general office procedures.
Knowledge of FERPA.
Skill in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions and approaches to problems.
Skill in organizing resources and establishing priorities.
Ability to communicate effectively, both orally and in writing.
Ability to answer multiple phone lines.
Ability to operate personal computers with proficiency and learn new applications and systems.
Ability to accurately prepare and maintain records, files, and reports.
Ability to work successfully as both a member of a team and independently with minimal supervision.
