The Department of Medicine, Division of Gastroenterology is seeking aBusiness Services Analyst. This position reports directly to the Division Administrator with an indirect reporting relationship to the Division’s Clinical Nurse Manager. This position will serve as the lead for managing templates and schedules for the Division. This position will also focus on business decision support analytics, generating reports for Divisional leadership to ensure the Division meets key institutional targets.
Essential Job Functions
Clinical Operations:
-
Participate and support
divisional clinical process improvement initiatives and
endeavors
Work collaboratively with
external JHM offices and stakeholders on
improvements
Attend Divisional clinical
operations meetings as assigned, and work collaboratively with all
divisional faculty and staff
Assist with any necessary
telecom updates, or facilities requests as needed for the
programs
Serve as a backup liaison
with IT/Epic help desk with reported issues and track to ensure
resolution
Monitor and oversee patient
team lists and update as necessary per provider
requests
Reporting and Data Analytics:
-
Utilize systems and
databases (EPIC, COGNOS, DataMart, Medvitals, and Tableau) to
develop and maintain clinical reports detailing access performance,
volumes, provider utilization, patient satisfaction, financial
performance, safety, compliance and other pertinent decision
support tools and management reports
Prepare timely and accurate
ad hoc analysis/reports such as staffing level, physician
productivity, space utilization, access/capacity, new clinical
practice initiative, business plans, professional fee and hospital
billing assessments, payer mix, etc.
Provide report support to
department and Administrators by developing reporting tools and
corresponding user references and training
sessions
Prepare analysis to support
understanding of clinical performance which incorporate clinical
metrics such as Current Procedural Terminology (CPT) codes,
Relative Value Units (RVUs), demographics, etc.
Make recommendations to
leadership based on the data that is analyzed and develop
presentations
Responsible for monitoring
key performance indicators and reporting metrics monthly to
stakeholders (e.g.- bump rate, endoscopy utilization,
compliance)
Physician productivity,
effort and session completion
RVUs, visits, cases,
sessions, no-shows, overbooked patients
Template Management:
- Work with Central scheduling
template building team to set up provider templates in
EPIC:
- Includes new locations/providers
- Modifications (e.g. - updating slot type, inserting pumping breaks, etc.)
- Approved ad hoc changes
- Template edits approved by leadership
- Template closures for faculty departure
QGenda:
- Process Owner
- Audit and ensure all approved changes are updated in EPIC within 5-business days
- Liaise with MOC Supervisor
for changes less than 12-weeks
Clinical Program Project Management:
-
Develop comprehensive
project plans for identified opportunities – establish project
goals, objectives and outcomes, secure leadership support and
endorsement
Determine project time line
to accomplish identified goals with milestones
Assist in the implementation
of projects - utilizes skills of communication, negotiation and
problem solving to effectively execute identified steps of
implementation, monitors progress towards outcomes and modifies
action plan accordingly, plans interventions as necessary to
maintain time line, recognizes potential for integration /
collaboration
Evaluate project outcomes -
collects relevant data to determine efficiency of project, makes
and implements recommendations to improve project outcomes or
processes, develops written summary reports by making
recommendations to the leadership
Work with clinical areas to
identify projects to meet operational targets, implement, and
maintain performance improvement initiatives
- Lead, facilitate, or support meetings and committees as appropriate
- Develop written summary
reports by making recommendations to the leadership based on data
analysis
Space Assignments:
- Maintain clinic space assignment master grids
- Maintain provider assignment grids by day
- Ensure all provider
assignment changes are uploaded in grids, qgenda,
EPIC
Adopt-a-Block:
- Maintains ownership ofendoadoptablock@jhmi.eduemail
- Responsible for reviewing all unassigned blocks of Endoscopy for every unit
- Responsible for sending emails of unassigned block time every Monday to all stakeholders to solicit adoption of open blocks
- Reviews all requests to adopt-a-block with Clinical Directors
- Enters all approved adoption
blocks to QGenda
Scheduling Review:
- Create weekly report for schedule review with Access Services, Division Administration and Clinical Support team leadership
- Assign gaps to be addressed by Access Services or Clinical Support team weekly
- Follow up to ensure gaps have been filled with scheduled patients
- Ensure weekly schedules are
full
Customer Service & Teamwork:
- Ability to multi-task, prioritize, organize, and work closely with all departments and divisions
- Work collaboratively with both Divisional and other JHU administrative personnel
- Must have strong interpersonal communication skills as well as organizational skills
- Prioritization of administrative tasks and tracking is a requirement
- Experience working with underserved populations or diverse populations is preferred
Communication: Good oral, written, and organizational skills
Minimum Qualifications:
- Bachelor’s Degree is required
- Master’s preferred in relevant area
- Three years of related experience required
- Additional education may be substituted for years of work experience.
- JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
