General Summary/Purpose

This position provides high-level administrative support to the Vice Provost for Diversity and Inclusion/Chief Diversity Officer (CDO). The CDO works closely with members of the Office of the Provost, deans, and university leadership to achieve the academic initiatives and priorities for Johns Hopkins University. Responsibilities for the Senior Administrative Coordinator position include scheduling and managing the CDO’s calendar, preparing the CDO for a variety of key meetings, serving as a liaison between the CDO and university officials, and providing project management support for both the CDO and Sr. Program Manager.

Specific Duties & Responsibilities

The Senior Administrative Coordinator must demonstrate careful judgment, a high level of discretion, and the ability to work independently. The successful candidate will be able to collaborate with other members of the Office of the Provost’s administrative team, communicate effectively, prioritize multiple tasks, take a proactive approach to work assignments, and take initiative in the anticipation of future needs of the CDO. Having prior work experience in institutions of higher education is preferred.

  • Manage the CDO’s calendar by effectively prioritizing requests for meetings and resolving scheduling conflicts
  • Triage email, telephone calls, faxes, and incoming mail directed to the CDO
  • Assist the CDO and Sr. Program Manager in tracking academic initiatives and priorities for Johns Hopkins
  • Manage special projects on behalf of the CDO as directed
  • Prepare first drafts of emails, letters and other correspondence
  • Develop itineraries for the CDO (transportation, lodging, etc.) for in-state and out-of-state travel
  • Complete additional administrative duties such as: maintaining team telephone directories, processing reimbursements and other expenses, compiling meeting materials, and reserving meeting rooms and/or catering for special events
  • Serve as the primary administrative support person for the Office of Diversity and Inclusion (ODI) Knowledge Share Group and the Diversity Leadership Council
  • Provide support for ODI programs and events as needed
  • Verify that matters requiring the CDO’s attention from different collaborative teams are prioritized appropriately and fully developed
  • Perform other duties as required

Minimum Qualifications(Required)

High School Diploma/GED.

Five (5) years progressively responsible administrative experience.

Additional education may substitute for required experience, to the extent permitted by the* JHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

  • Technologically savvy – experience with basic web search, social media, cloud-based document sharing (DropBox, Evernote), and project management tools
  • Strong computer literacy skills, specifically with Microsoft Office products (Outlook, Word, PowerPoint, and Excel)

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
