General Summary/Purpose

Coordinates administrative activities for Wilmer’s Medically-Necessary Contact lens (MNCL) program. The Coordinator serves as the primary departmental resource for patients, providers, managers and staff about the services related to these programs. The Coordinator provides this support across the Wilmer enterprise.

Specific Duties & Responsibilities

  • Acts as a liaison between the patient, Wilmer staff, Optometrists, and insurers and manages expectations for all parties.
  • Informs patients about the steps required to proceed before ordering these devices, including contacting insurance companies, collecting payment, ordering the devices and scheduling follow up visits with the provider.
  • Explains applicable co-pays, co-insurance and deductibles to patients.
  • Contacts patients’ insurance companies (primary and secondary) to verify whether the patient has benefit coverage for the lenses and fittings.
  • If yes, determines whether insurance companies require pre-authorizations/pre-certifications.
  • If yes, requests approval by phone or in writing based on insurer’s requirements. Includes statement of medical necessity from provides for support. Follows up with insurer until an approval or denial is obtained.
  • If no, notifies patient of denial and collects payment.
  • Reviews and explains Advance Beneficiary Notice forms, Private Contract forms and any other payor related forms. Obtains signatures and maintains documentation.
  • Reviews and explains warranty information to patients. Obtains signatures and maintains documentation.
  • Keeps patients updated on the status of their cases while waiting to hear back from the insurer.
  • Sends information to Wilmer Billing for billing devices and fittings.
  • Orders devices from approved vendors and ships to appropriate location.
  • Processes returns as appropriate.
  • Reviews “order summary” for complete and accurate information and emails to appropriate billing staff.
  • Orders provider changes and ships where needed.
  • Uses SAP system to process vendor invoices, track purchasing orders, create good receipts and ensure that ordered products have been delivered.
  • Monitors status of vendor payments to ensure timely processing. Contacts vendors for missing invoices.
  • Scans and maintains invoices.
  • Retains packing slips and other required documentation for reconciliation purposes.
  • Notifies referring physicians on status of cases.
  • Maintains a tracking system of patients denoting volume, status and case completion.
  • Answers phones and returns calls in a timely manner.
  • Requirements:

    Ability to prioritize.

    Delivery of exceptional customer service in a busy medical environment. Customers include patients, referring providers and staff.

    Capacity to cross cover work with colleagues.

    Minimum Qualifications(Required)

    High School Diploma/GED.

    Two (2) years related experience.

    Additional education may be substituted for years of related experience.* JHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

    Preferred Qualifications

    Knowledge of optics.

    Knowledgeable regarding insurers and insurance coverage.

    Knowledge of the Epic system and Office Mate.

    Special Knowledge, Skills, and Abilities

    Exchanges non-routine information using tact and persuasion as appropriate requiring good oral and written communication skills.

    Excellent customer service skills needed.

Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
