General Description of Position

Under the direct supervision of the Administrative Director of Financial Aid, and the Associate Director of Financial Aid the Administrative Assistant is responsible for a variety of customer services and clerical duties related to the processing of student financial aid. Interacts with students, parents, staff, faculty, and agency staff who make inquiry regarding financial aid eligibility and award status. Provides a variety of support services for Associate Directors of Financial Aid and Financial Aid Technicians in areas such as Federal College Work Study programs, SCC Foundation Scholarship programs, and general financial aid processing. Assists and participates in College Financial Aid presentations at both on and off campus locations. Assist other departments or divisions as needed.

ESSENTIAL FUNCTIONS
Performs Reception Duties
Answers incoming Financial Aid calls. Supplies general information to callers and distributes messages as needed. Greets and assists customers at the counter.

Financial Aid Application
Assists students with FAFSA applications, Federal Direct Loan Master Promissory Note and Loan Entrance/Exit Counseling as needed.
Performs Data Entry
Data enters incoming documents into the document tracking system in the computer. Prepares reports as requested.

Processes Mail
Opens and processes incoming mail, faxes and emails for the Financial Aid Office. Prepares and mails requests for information from financial aid applicants.

Images Student Files
Enters student files into our College network imaging system. Organizes student files and prepares them for imaging. Uses scanning equipment to image and index documents. Verifies the integrity of the information. Retrieves documents from the imaging system for students and staff.

Operates Office Machines
Operate personal computer including printer, telephone equipment with voicemail and automatic call distribution system, copier, fax machine, document imaging system and other equipment as assigned. Software: Microsoft Office-Word and Excel, document imaging and retrieval software, Microsoft Outlook

Composes and Prepares Correspondence
Responds to inquiries by composing replies and preparing written correspondence using word processing technology, as needed.

Minimum Qualifications

1. High School graduate or GED .
2. Minimum of two (2) years secretarial/clerical experience or one (1) year office experience plus one (1) year of related training.

Desired Qualifications

1. Experience working in a financial aid office or related experience in a financial institution.
2. Experience with Student Information Systems, such as Ellucian Colleague

Salary

$15.12/hr

Special projects and assignments and periodic increases in workload may require weekend work on an infrequent basis. This is a full-time regular position based on a 260-day work calendar.
