Campus Student Events Specialist

The mission of The University of St. Augustine for Health Sciences is the development of professional health care practitioners through innovation, individualized, and quality classroom, clinical, and distance education.

GENERAL SUMMARY
The Campus Student Events Specialist plays a key role in the student related marketing and enrollment activities at the assigned institution. Responsibilities of this position include team leadership, planning and implementing open houses, interview days, orientations, white coat and pinning ceremonies, alcohol and drug awareness events, residencies, lab weekends, job fairs, commencements, and additional student-centered university events.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Responsibilities include:
• Plan space usage, catering, AV needs, and other logistics for student-centered university events.
• Serve as events team lead for the facilitation, creation and design of student event materials, management of event workers and oversight of student events.
• Serve as the liaison between University Events team, Editorial Team and Marketing design team.
• Coordinate any required housing, air and ground travel for student events; manage all logistics in support of a good student experience.
• Attend venue site visits and assist in pre-planning for all programs.
• Manage and facilitate budget allotments for university events including monitoring effectiveness and recommendations for utilization; process event invoice and track/prepare reports on associated expenses.
• Maintain communication with internal clients and stakeholders to ensure successful events.
• Recruit student workers and other support personnel to assist with staffing events
• Serve as main contact for logistical questions by students, staff, faculty, and other departments.
• Research and acquire event sponsorships, contracts, and partnerships.

OTHER DUTIES AND RESPONSIBILITIES
May perform other duties and responsibilities that management may deem necessary from time to time.

TRAVEL REQUIREMENTS
Ability and willingness to travel to event locations; 15-20% travel required to assigned campuses.

MANAGEMENT/SUPERVISORY RESPONSIBILITIES
Will be expected to manage a temporary workforce of student employees.

POSITION IN ORGANIZATION
REPORTS TO: Director, Student Services and matrixed reporting into Marketing organization.
POSITIONS SUPERVISED: This position has no direct reports but may manage student employees on occasion for special events.

PROBLEM SOLVING
• Will be expected to solve problems and logistics related to events. This includes shortage of supplies, employees, event attendance and vendor issues.

EDUCATION and/or EXPERIENCE
• Bachelor’s degree required with a minimum three to five years of experience working on a student services role, with a minimum of two to three years of direct of indirect student event, event-planning or marketing experience.
• Experience in coordinating and collaborating with major organizational stakeholders
• Demonstrated project management, budget management, and organizational skills; ability to plan and manage multiple events simultaneously.

• Working knowledge of Microsoft Word and Excel, Internet navigation, and database use. Familiarity with PowerPoint and knowledge of Adobe InDesign and Photoshop, Cvent, online classrooms, and Web editing software preferred.

WORK ENVIRONMENT
Work is performed primarily in a standard office environment but may involve exposure to moderate noise levels. Work involves operation of personal computer equipment for six to eight hours daily and includes physical demands associated with a traditional office setting, e.g., walking, standing, communicating, and other physical functions as necessary.
