General Summary/Purpose

The Fellowship Coordinator position will support the evolving demands and needs of the rapidly growing Bloomberg Fellows program. The position will report to and backstop the Fellowship Officerwith afocus on providing administrative and coordination support in all aspects of the fellowship program. The position will help maintain the current high standard of service to fellows and help serve the increasing number of prospective applicants, the growing applicant pool, and the expanding needs related to the application review, selection, and onboarding of fellows. The position will handle information of sensitive and confidential nature and as such will be required to maintain strict confidentiality. The position is based at the JHU Bloomberg School of Public Health in East Baltimore.

Specific Duties & Responsibilities

  • Prepare and update fellowship related documents for the annual application cycle including timelines, application forms, review rubrics, spreadsheets, and other documents as needed; maintain communications during these processes.
  • Coordinate application review meetings with the MPH and DrPH offices, selection committee and faculty leads.
  • Compile notes, feedback and recommendations from the review process and develop various spreadsheets to track review status of both MPH and DrPH applicants.
  • Participate in fellowship related meetings including monthly coordination committee meetings, review and selection meetings.
  • Draft offer letters, letter of commitment, grant agreements, and other documents needed for the onboarding process.
  • Update the fellowship materials including handbook and courses guides.
  • Assist with the management of the alumni network.
  • Perform other duties relating to the fellowship application cycle, the onboarding process, and academic support for the Bloomberg Fellows program.

Minimum Qualifications

  • High School Diploma/GED.
  • 5 years progressively responsible administrative/academic experience. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula:

* JHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

Preferred Qualifications

  • Bachelor's degree preferred.
  • Previous experience in an academic program setting, graduate fellowship/scholarship programs preferred.
  • Excellent verbal and written communication skills.
  • Must be highly skilled in advanced MS Office Suite, Adobe, spreadsheets, database, and electronic data compilation.
  • Must be adept at working effectively in a small team setting and a team player.
  • Excellent time management and organizational skills, attention to detail, and ability to
    follow-through and complete tasks in a timely manner.
  • Must be professional with the integrity to maintain strict confidentiality of sensitive information.
  • Must be flexible and willing to assume varied duties and responsibilities.

Special Knowledge, Skills, and Abilities

Dataanalysis skills and experience using STATA, R, or SAS.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
