About the Opportunity:
The Office of the Dean in the School of Law at Northeastern University seeks an Administrative Coordinator. Reporting to the Special Assistant to the Dean, this position provides high-level administrative support for the School of Law. The individual will work within the Dean's Suite, coordinating with the various departments of the Law School and University to streamline administrative duties related to the Dean, the Special Assistant to the Dean (including faculty affairs), maintain the administrative needs of the Dean's Suite including support to the Associate Dean of Administration and Finance department, and work-study program.

The person holding this job should demonstrate a high level of discretion and sound judgement and the ability to maintain confidentiality. This position requires taking initiative, problem solving skills, and the capacity to exercise independent judgement in a range of areas.

This position is full-time. Office hours are Monday through Friday, 8:30 am to 5:30 pm.

Responsibilities:
The day-to-day responsibilities will vary widely based on department need, but main responsibilities include:

Office of the Dean
Ensures the administrative needs of the Office of the Dean are maintained. This includes maintaining a professional office atmosphere and ensuring there is appropriate coverage for the front-office. This involves hiring and supervision of work-study students.

Faculty Affairs
With oversight from the Special Assistant to the Dean, manages faculty affairs. This includes areas such as the Appointment Process, Tenure & Promotion, Sabbatical, Merit, Research Stipends, and Part-Time Faculty appointments. This individual will serve as the administrative point person for these tasks, each of which requires a high level of detail and the ability to coordinate with multiple parties across different areas of the University and external communities/parties.

Dean
Under the direction of the Special Assistant to the Dean and Program Manager, provides administrative support to the Dean. This includes tasks such as calendar management, scheduling, expense reports, and committee meeting notes.

Special Projects & Initiatives
Administratively support special projects, initiatives, or other needs as they arise at the School of Law. This includes supporting the Special Assistant to the Dean with management of various committees and requires supporting the Associate Dean of Administration and Finance with other related administrative responsibilities.

Qualifications:
Required Qualifications:

  • Bachelor's degree with 2-3 years administrative experience or equivalent combination of education and experience

  • Ability to work in a fast-paced, dynamic environment

  • Excellent verbal and written communication skills

  • Excellent time-management skills with the ability to handle quickly changing priorities

  • Exhibit a high level of professionalism and customer service skills

  • Ability to learn, utilize, and troubleshoot new and unfamiliar software, technology, and office equipment

  • Basic Administrative functions (i.e., experience recording meeting minutes, making complex travel arrangements and preparing itineraries).

  • Demonstrated expertise in key technology and software for the purposes of scheduling, video conferencing, record keeping, communications, and high-level document production (i.e. Zoom, Microsoft Office Suite, Adobe, and Cloud Based Systems)

  • Ability to use discretion when working with highly confidential information

  • Strong problem-solving skills


    Preferred Qualifications:

  • Administrative experience in Higher Education

  • Experience with project management software (i.e. Asana, Slack, etc.)
