Position Summary

The Department of Computer Science & Engineering ( CSE ) at UB’s School of Engineering & Applied Sciences ( SEAS ) is seeking a state-funded Research Administrator to assist faculty in managing their research administration activities.

The incumbent will provide both general administrative support to the department and all pre- and post-award support of PIs. Responsibilities include:

  • Comprehensively manage research proposals from pre-submission, such as coordinating with collaborators, and obtaining equipment quotes, internal matching and approval through CLICK, to post-award, including student appointments, purchasing, and management of funds, etc.
  • Provide support to all research initiatives within the department, and must work closely with faculty while also interfacing with Sponsored Programs and various funding agencies as needed to meet all deadlines and ensure the proper prioritization of tasks.
  • Specific to pre-award support, the Research Administrator will work with faculty and their research staff to develop budgets and ensure applications for sponsored funds are in compliance with guidelines and requirements. You will work to review, edit, and ensure completion of funding applications. You will act as a liaison between the PI and the collaborators, UB Sponsored Projects Services ( SPS ), and Dean’s and VPR offices, to obtain timely approvals.
  • Specific to post-award management, the Research Administrator is a resource to the faculty and their staff, determining allowability and ensuring compliance; In addition, you will work to monitor project end dates and track faculty effort, generate financial reports for PI on demand, as well as perform other duties to ensure the efficient operation of grant activities.
  • Facilitate the hiring of student research assistants (stipend), hourly research aides and non-student appointments that are RF/ UBF funded. Process all ePTF RF/ UBF faculty summer salaries in a timely manner adhering to title specific guidelines to ensure appropriate hires that stay within budget thresholds. Process participant stipends, fellowship and tuition scholarships.
  • Purchase items for faculty with RF/ UBF funds. Track and recover computer service fees. Generate Cost transfers for RF/ UBF payroll and purchasing. All must be done within spending guidelines and allowable timeframes to ensure proper use of the grant and/or donor money

    Minimum Qualifications

    Bachelor’s degree required with one year of finance, budgeting and/or business administration experience and/or a background in math. The incumbent must be familiar with managing projects from start to end, and taking initiative to meet deadlines while balancing multiple projects and priorities. Excellent written and communication skills and ability to handle requests from faculty, students, staff and other School, University and State entities is expected. Expertise in Microsoft Office Suite (Word, Excel, PowerPoint) required.

    Preferred Qualifications

    Master’s degree preferred. Direct experience with proposal writing/editing, proposal submission process, post-award management and reporting preferred.
