Primary Purpose of Organizational Unit

This position works on the Academic Affairs Operations (AAOps) core service team within the College of Health and Human Services ( CHHS ). The AAOps core service team provides CHHS faculty, staff and administrators comprehensive support for Internships, Clinical, and Field Placement ( ICFP ) operations including but not limited to facilitation of placement agreements, student and faculty communication processing, database building and management, and adherence to University policy. The CHHS is comprised of the Schools of Nursing, Social Work, and Health and Applied Human Sciences; the Student Success and Healthy Communities centers, and core service teams in business services, research and innovation, and marketing. The ICFP Coordinator ensures CHHS faculty, staff and administrators have full access to the common support functions provided by this core service team.

Brief Summary of Work for this Position

The position manages and implements the processes and procedures for the applied learning field placement of College of Health and Human Services students. This position also:
•Creates and maintains databases and records and develops reports for the faculty and administrators overseeing field placements.
•Reviews clinical/field/internship contracts and memoranda of understanding, providing recommendations to General Counsel, faculty coordinators, and the CHHS Dean’s office.
•Interacts and maintains relationships with a variety of campus constituents to resolve issues and implement processes.
•Recommends and assists with implementing activities to meet goals and objectives.
•Assists in establishing and implementing unit policies and procedures.

Minimum Education and Experience Requirements

Bachelor’s degree; or equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.

Ability to learn and interpret university policies and applicable laws for university, college, school and program-level policies and procedures as they relate to the placement and supervision of students in internships, clinical sites, and field experiences. Ability to work in a matrix organization with responsibilities to various entities and stakeholders.

Experience in managing databases and ability to utilize database functionality.

Ability to present ideas and solutions to others, as well as to show flexibility in response to change.

Ability to generate comprehensive data and written narrative reports related to internships, clinical experiences, and field placements.

Excellent attention to detail.

Strong written, verbal and interpersonal communication skills.

Knowledge of proper spelling, grammar, punctuation and sentence structure to ensure that written materials, marketing materials, and communications prepared and reviewed are complete, concise, and error-free.

Ability to prioritize work tasks, manage multiple projects simultaneously, organize and adjust workload to handle multiple responsibilities.

Proficiency in the use of personal computer with multiple types of software programs, e.g. Microsoft Word, Excel, Publisher, Adobe, SharePoint and Outlook.

Capacity to embrace and willingness to learn new technologies and software.

Strong initiative and ability to work independently and with minimal supervision.

Ability to exercise sound judgment, tact and discretion in dealing with a wide variety of administrators, faculty, staff and student data.

Preferred education, professional skills and experience

Experience in a college environment within a university.

Experience facilitating and supervising internships, clinical experiences, and field placements, and work with related policies and procedures.
