General Summary/Purpose:

Reporting to the Director ofAdmissions, the Assistant Director (AD) will work in close partnership with the Director to manage all aspects of the admissions process with special emphasis on the continued development and management of the Slate platform that supports admissions operations. The Assistant Director: participates in the analysis of trends and data; oversees all office operations; assists with the recruitment and evaluation of candidates for admissions; overseesa portfolio of instrument and/or dance areas; does some traveling in support of admissions and recruitment efforts.

Specific Duties & Responsibilities:

  • Collaborates with the Director of Admissions on strategic direction, marketing and recruitment efforts and provides support and follow-through of new initiatives.
  • Collaborates with the Director of Admissions in hosting the Peabody Conservatory Audition week, which is the pivotal national and international recruitment event for Peabody. This event involves the scheduling and hosting of 1400+ students and their families for our audition week in collaboration with faculty, parents and applicants. AD oversees logistics such as room reservations, facilities and instruments and all other operational considerations.
  • Point person for the Graduate Assistant program at the Conservatory. Responsible for assigning and organizing @ 60 G.A.s scholarships and assignments in collaboration with Financial Aid and Faculty Chairs.
  • Slate captain of the institute who oversees the operation and oversight of Slate. Works closely with IT and the Director of Admissions to maximize the effectiveness of Slate as a primary recruiting database as well as application and audition portal. Slate tasks include but are not limited to:
  • Data imports of recruitment leads.
  • Creation or approval of all recruitment communications (via email and text message).
  • Maintenance of five complex and user-friendly applications.
  • Creation and maintenance of all queries (data exports) for use in reporting and recruitment.
  • Maintenance of the audition scheduling framework, including on-campus, regional and international audition sites for 2000 applicants.
  • Management of pre-screening and audition review process in Slate. Gather audition reviews and interpret for notification of applicants. This may include faculty training and troubleshooting.
  • Continued development of application reading process that includes review of application materials and academic review by Director of Admissions and Associate Dean of Academic Affairs. Update and reevaluate with the purpose of error reduction and expediency. Staff training.
  • Creation and release of up to six decision letters that are set and released as a part of the lifecycle of one application.
  • Facilitate communications with enrolled students through collaboration with Student Affairs/Academic Affairs/Online team.
  • Maintenance of the database of 170 faculty and staff users and permissions.
  • Duplicate resolution of numerous individual records per cycle.
  • Collaboration with data team to import test score records/export data.
  • Supervise the collection and assignment of application materials.
  • Communicate Peabody’s software needs with Technolutions, submit service desk tickets and stay up to date with current system capabilities and innovations.
  • Manage events module for use during daily tours, yearly college fair and on-campus auditions.
  • Responsible for training and troubleshooting for faculty as they access the applications during auditions.
  • Works to keep Slate and SIS congruent with evolving Peabody programs, and spearheads development of new functionalities. Creates JIRA requests and responds to requests for intra-divisional data in Confluence (the SIS reporting systems). Primary office contact and information source for the JHU D3 (Data Warehouse) initiative.
  • Serves as a point of contact for prospective students and parents. Counsels applicants on the admission and audition process, develops all correspondence, and tracks students through the admission funnel.
  • Maintains a network of feeder schools, teachers, and other influencers, and other organizations that have the potential to produce applicants for the Conservatory.
  • Manages a recruitment portfolio. This process involves direct collaboration with departments, faculty, and applicants, resulting in the collection of trend data to support the scholarship awarding process, while also developing predictive models to support enrollment management at Peabody. Participates in the development of the Strategic Recruitment Plan for the Institute.
  • Travels within the continental United States to recruiting events each year, which may include NACAC college fairs, summer festivals, arts high schools and youth orchestras. Travels also include a yearly Slate Summit and Basecamp to keep up technical skills, as well as high-profile networking and collaborative professional organizations, where the Associate Director is expected to contribute and represent Peabody to the greater music admissions community.
  • Serves as the Acting Director in the absence of the Director of Admissions
  • Serves as Admissions office liaison with Homewood (JHU) for double degree applicants
  • Assists in the hiring and training of staff and student workers.
  • Performs all other relevant duties as assigned.
  • Minimum Qualifications(Required)

    • Bachelor’s degree required.
    • One years of admissions experience required.

    Additional education may substitute for required experience, to the extent permitted by theJHU Equivalency Formula:18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

    Preferred Qualifications:

    • Graduate degree strongly preferred
    • Three years of relevant admissions experience strongly preferred.
    • Experience with Slate or other admissions-related CRM involving application development and maintenance, audition scheduling, querying and reporting, data import, event scheduling, marketing, e-messaging, etc. strongly preferred.

    Special Knowledge, Skills, and Abilities:

    • Strong technical aptitude and experience with database systems and the production of reports. Demonstrated aptitude with technology and software, including advanced skills with MS Word, mail merge and Excel.
    • Ability to travel; ability to multi-task, and to demonstrate excellent judgment in complex situations.
    • Excellent customer service and communications skills.
    • Ability to work as part of a team, to work independently, to work with a diverse clientele.
    • Ability to maintain confidentiality.
