Clinical Outcome Registry Assistant

General Summary/Purpose

Primary responsibilities include data collection, review of data quality report issues, review of STS / DCRI reports and audit of STS registry data. The STS Research Assistant will insure accurate data abstraction, accurate data entry and timely submission of all registry data to meet all STS harvest deadlines. Responsible for abstraction, entering, and completing 30 adult cardiac surgery STS cases per week.This position will interact with the Cardiovascular Outcomes’ Registry Analyst Data Manager, the Cardiac Surgery Information Systems Manager, attending physicians, clinical care personnel, and other members of the data management team.

Specific Duties & Responsibilities

  1. STS Registry –Reviews medical record documentation, abstracts and enters clinical data into STS Registry Software
  1. Based on a thorough understanding of the STS adult cardiac surgery registry and software, this position is responsible for :
  2. Complete and accurate data abstraction and data entry of clinical data from Clinical Electronic and Paper
  • Based Medical Records
  • Clinical interpretation of data element definitions;
  • Data quality and review with correction of missing, duplicate, incomplete data and invalid data fields
  • Review and thorough understanding of STS data definition changes, new registry versions, and data
  • Interpretation guidelines which are communicated by the STS via the training manual and the STS
  • Website as well as internal communications and training by the CV Outcome Registry Analyst .
  • Maintain Cardiac Surgery’s divisional policies and procedures for data abstraction, interpretation, and
  • submission of the data.
  • Maintain compliance in protecting patient confidentiality when reviewing, communicating and accessing
  • clinical data
    1. . • Meeting data submission deadlines to meet regulatory and/or stakeholder requirements;
  • Collaborates with other members of the cardiac surgery data team to create and maintain data in a confidential manner.
  • Participate in registry conference calls and STS webinar training.
  • Attend STS Conferences, Vendor training workshops and regional meetings. (Travel may be required).
  • Other duties as assigned.
  • Minimum Qualifications

    Bachelor's degree in related discipline. Some related experience.

    Additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

    * JHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

    Preferred Qualifications

    Preferred experience: 18 months to 2 years of data abstraction with clinical/medical records.

    Special Knowledge, Skills, and Abilities

    1. Preferred up-to-date understanding or experience with clinical registries and research.
    2. Knowledge of procedures and biomedical products related to cardiology and cardiac surgery.
    3. Data management systems and expertise with clinical data analysis and reporting. Data abstraction from electronic medical records.
    4. Excellent verbal and written communication skills.
    5. Demonstrated proficiency with office software specifically Microsoft Access, Word, Excel and PowerPoint and Statistical software.
    6. Flexibility and the ability to work in a dynamic, team-oriented environment
    7. Ability to work independently and be self-directed.
    8. Ability to work under pressure to meet submission, project and reporting deadlines.
    9. Ability to work in a fast paced university teaching hospital

    The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
