General Summary/Purpose:

The Budget Specialist provides high-level administrative and financial support to the Department of Mechanical Engineering. This person must maintain a high degree of professionalism and confidentiality, comfortably taking initiative and exercising independent judgment to resolve issues.

Specific Duties & Responsibilities:

Administrative (20%)

  • Manage the primary department telephone line, retrieve and relay messages to appropriate parties; greet and provide assistance to all parties doing business with the department
  • Ordering of supplies and other general office items; coordinate delivery of supplies and other equipment
  • Process equipment tag number request; shipping of packages; maintenance and IT service request; key issuing; parking validation; ordering of parking passes
  • Manage departmental conference room calendars
  • Schedule, coordinate, and manage catering for the following (including setup, cleanup) Fall & Spring Design Day; special projects and events; workshops and symposia; group meetings and other office activities
  • Provide special project support to the Department Head, Administrator, and Administrative Supervisor (reports directly to Administrative Supervisor)
  • Other duties and projects as assigned

Financial (80%)

  • Initiate employee and non-employee expense reimbursements; process check requests, shopping carts, petty cash forms
  • Process and manage all vendor and independent contractor onboarding paperwork
  • Work with procurement and accounts payable to ensure the proper setup and processing of all vendor/independent contractor purchase orders, check requests, and other financial transactions
  • Manage monthly procurement card purchases and associated record-keeping, including orders received from Senior Design and departmental Student Groups
  • Assist Grants and Contracts Team with monthly reconciliation of sponsored and non-sponsored accounts
  • Other duties and projects as assigned

Minimum Qualifications (Mandatory):

  • HS Diploma/ GED
  • Three years administrative/financial experience
  • Related coursework at the college level may substitute for experience to the extent permitted by the JHU equivalency formula

Preferred Qualifications:

  • Bachelor's degree
  • Five years progressively responsible administrative/financial experience

Special Knowledge, Skills, and Abilities:

  • Demonstrated ability to work independently and as part of a team
  • Excellent organizational skills, analytical and problem solving abilities, and attention to detail
  • Ability to work for long periods of time without direction, prioritize own work and to work with flexibility on several tasks simultaneously in order to meet various concurrent deadlines
  • Proficiency in Microsoft Office Suite and ability to learn new software
  • This position requires excellent writing and verbal communication skills with exceptional attention to detail
  • Must have strong interpersonal skills and ability to work as part of a team, with the ability to work in a dynamic, fast-paced environment and respond quickly to changing priorities

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
