The University makes available a broad array of credit and non-credit courses, seminars and workshops through the Division of Extended Studies. Some programs are offered on campus and others at off-campus sites more convenient to persons living outside of Pueblo. Off-campus instruction sites include Colorado Springs and Fort Carson.

The Division of Extended Studies provides courses to part-time and non-traditional students. A variety of educational methods - classroom instruction, correspondence courses, on-line courses, conferences, workshops and seminars - are utilized to expand educational access and meet the needs of students at convenient times and settings. Students may earn academic credit toward a degree, study for career advancement, or pursue cultural and vocational interests.
 

 

 Description of Job: Position primary responsibility is to coordinate the students and business processes associated with the Teacher Education Program operated through the Division of Extended Studies. Provide consistent and reliable customer service to students, provider partnerships, academic partnerships, and other CSU Pueblo Offices. This position provides knowledge and support to the Dean of Extended Studies by maintaining course approvals, registration, and invoicing and billing associated with this program.

Primary Duties:

Student and Program Support
  • Ensures all student registrations, payments, schedules and grades or attendance are transferred to the appropriate University offices and information systems (AIS/Banner). 
  • Load approved courses into the data management portal, and confirms the file transfers for third-party information management systems, while complying with FERPA and university policies.
  • Responsible for maintaining academic policies and procedures and drafting MOUs for department and legal review for TEP Providers. 
  • Instructs students on the procedures for registering and paying for classes.
  • Establishes and carries out timelines for information and payment transfers amongst Extended Studies offices.
  • Creates and disseminates course schedules as assigned.
  • Monitors course progress and completion.
  • Confirms the recording of grades as reported by instructors.
  • Collects, tracks, and verifies registration and payment information. 
  • Actively establishes positive working relationships with other staff members to support program efficacy and growth.  
Budgeting and Invoicing
  • Monitors annual revenue and expense budget and makes suggestions for adjustments on a monthly basis to maintain the required extended studies account balance for TEP providers, and evaluates effective reconciliation procedures through invoicing of courses.
  • Assists with third-party billing issues for students to resolve issues and provide administrative support.
Course Approvals, Renewals and Information Coordination
  • Ensures all new and current TEP providers have updated contact information and documentation (e.g., current syllabi, course instructor credentials, etc.) for those courses taught through CSU Pueblo.
  • Works directly with TEP Evaluator to ensure that only courses meeting accreditation standards are scheduled and activated for student enrollment.
  • Ensures that providers submit a sample of student work and corresponding grades on time each year for TEP Evaluator to examine.
  • Maintains information on when courses are due for annual renewal/approval.
  • Verifies all file transfers for University information systems and third-party information management systems.
Innovation and Process Improvement
  • Collaborates regularly with the TEP Evaluator and the Dean of Extended Studies to identify process improvement opportunities and develop dynamic work flow to meet the market needs of the TEP program. 
  • Develops and monitors efficient process for data input for registrations and invoicing.
  • Maintains clear records and documentation of data. 
Partnerships
  • Maintains professional relations and Memorandum of Understanding (MOU) agreements with third-party site sponsors, Colorado State University systems, Department of Higher Education, and other entities formally operating in partnership with assigned programs.
  • Identification of renewals and recognizes issues for enforcing campus procedures be followed.
Occasional Duties
  • Participates in Division and University affairs in Pueblo and throughout the region that enhance the program’s performance and quality profile.
  • Other duties as assigned.

 

 

 Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights: Minimum Qualifications
  • Associates Degree from an accredited institution.
  • 3-5 years of professional / customer service experience.
  • Knowledge of customer service, accounting, budgeting, finance
  • Knowledge of Microsoft Office suite programs.
  • Knowledge of record and data management / Proven organizational skills
  • Excellent communication skills, verbal and written.
Preferred Qualifications
  • Bachelor’s Degree from an accredited institution.
  • Experience with Banner.
  • Experience working with competing priorities and multiple time sensitive projects in a fast-paced environment.
  • Experience in marketing and outreach services to non-traditional student populations.
  • Knowledge of college admissions, advising, enrollment and financial aid procedures.
  • Demonstrated ability to manage complex processes across multiple sites
