Senior Communications Associate

General Summary/Purpose

Johns Hopkins University’s (JHU) University Student Services division is seeking a communications professional within its new shared Student Services Organization (SSO). The SSO provides registration, student accounts, and financial aid services for all 27,000 students across the university’s nine different schools.

The person who fills this position will help plan, design, implement and manage communications and content strategy related to the SSO across a variety of channels, primarily digital and web. The person in this role will work closely with functional leadership in the areas of registration, student accounts, financial aid, and student customer service to develop a comprehensive, aligned approach to communications across these areas.

This is a new position within a brand new unit, so whomever fills this role will have the opportunity to work in a challenging, fast-paced environment; to create and develop communications campaigns and materials; to influence the development of the SSO’s social media and web strategy; and to work with and learn from leaders in a number of different functional areas. They will work closely with central communications as well as communications staff and functional managers in each of JHU’s schools.

This person will be an important member of a team that will launch this new student-centered unit and will be provided with opportunities for professional development and growth. In addition, they may eventually have the opportunity manage a communications specialist as the team grows.

Specific Duties & Responsibilities

  • Oversee the planning and development of communications campaigns, materials and related content to support student-facing customer service operations in three functional areas across Johns Hopkins (registration, student accounts, and financial aid). Examples include educational guides, information on key dates and deadlines, overview of university policies, reminders, updates, and more.
  • Manage communications strategy and planning for the SSO, in partnership with internal colleagues (registration, financial aid, and student accounts) and other divisions across the university (University Student Services and JHU’s academic divisions).
  • In partnership with colleagues, help build and maintain the content on a new student shared services website by ensuring that information is up to date, accurate, and appropriate for the time of year based on student lifecycle and key dates.
  • Partner with colleagues to manage the SSO website and knowledgebase (information repository with information on policies and processes and answers to common questions asked by stakeholders) for the SSO.
  • Develop and maintain a communications calendar, ensuring that communications activities are coordinated across functional areas and have consistent messaging, including look and tone.
  • Implement and oversee the review process for all communications coming from the SSO, assisting with writing and editing as needed.
  • Ensure messaging follows established university and divisional guidelines and is uniform, cohesive, integrated, personalized to target audience, and aligned with institutional objectives.
  • Participate in the planning, development, and distribution of targeted email communications; manage audience distribution lists.
  • Coordinate with designers, printers, and other vendors as needed.
  • Track metrics and solicit feedback on communications campaigns/materials in order to ensure continuous improvement.
  • Create and share reports/updates with leadership via either written or verbal presentations.
  • Leverage data from in-person visits, e-mail inquiries and phone calls to inform communication decisions.

  • Minimum Qualifications

    Bachelor’s degree in communications, marketing, or a related field.

    A minimum of four years of experience in communications, marketing, or a related field.

    Experience in a higher education setting and/or student customer service background.

    Preferred Qualifications

    Master’s degree preferred.

    Previous experience working in higher education one-stop shop or similar shared services model.

    Special Knowledge, Skills, and Abilities

  • Excellent written and verbal communication skills with the ability to write clear, concise copy for digital and print mediums; strong editing and proofreading skills.
  • Solid understanding of principles of design, layout, and brand identity; demonstrated experience working within established brand standards.
  • Excellent interpersonal skills, cultural responsiveness, and the ability to work collaboratively with multiple groups, including students, staff, and administrators.
  • Strong project management and collaboration skills; ability to work closely with colleagues from different functional areas.
  • Knowledge of financial aid, registration, and student accounts strongly preferred.
  • Demonstrated knowledge of Microsoft applications (e.g., Word, PowerPoint, Excel) and other communications/social media tools.
  • Experience using content management systems (e.g. WordPress) and email marketing platforms; familiarity with HTML/CSS.
  • Understanding of measurement tools (e.g. Google Analytics) and how to translate data insights into action.
  • Superior attention to detail; ability to think creatively, strategically, and analytically.
  • Ability to work effectively under deadlines and simultaneously juggle several assignments.
  • Sophisticated understanding of today’s digital landscape, including new and emerging technologies and platforms as well as usage trends among undergraduate and graduate students.
  • Flexibility in dealing with a very diverse culture, and commitment to diversity and to serving the needs of a diverse population.
  • Technical qualifications or specialized certifications:

  • Proficient with the Adobe Creative Cloud (InDesign, Illustrator, Photoshop, etc.) and related tools.
  • Familiar with web accessibility standards and best practices for usability, navigation, content styling and presentation, and search engine optimization.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers.
