Executive Assistant III

Manage day-to-day administrative operations of a functional area, supporting a University Executive. Act as primary point of contact for internal and external constituencies on all matters pertaining to office. Provide team support in management of office. Manage daily communication and timely information flow for expediency and efficiency of Division or Department.

Responsibilities
  • Perform related duties as assigned to support the mission of the University
  • Serve as primary point of contact and independently respond to inquiries and concerns from callers and visitors on behalf of Campus Executive
  • Advise Campus Executive on issues and concerns requiring executive action
  • Prepare reports by conducting research and developing content for Executive presentations
  • Create, edit and distribute written and digital correspondence
  • Record and distribute meeting minutes
  • Manage multiple projects with competing priority simultaneously
  • Liaise with campus and external communities in role of primary point of contact for Campus Executive Office
  • Represent campus and Campus Executive Office in daily routine matters
  • Manage projects as needed by the Executive
  • Independently respond to inquiries and concerns from callers and visitors on behalf of Executive
  • Manage leader's time and prioritize and schedule appointments
  • Independently determine importance of requested meetings and coordinate calendar to accommodate needs of Administrator
  • Prepare detailed briefing materials for Administrator by providing pertinent facts, data, and other background information for meetings, reports, inquiries, agendas, and presentations
  • Procure some goods and/or services for the office and possibly the division
  • Draft, review and properly code all correspondence for filing
  • Process travel requests and manage registration and logistical arrangements
  • Coordinate operations and planning activities

  • Bachelor's degree

  • Proven success in project management experience

  • Three years of progressive experience demonstrating a high level of administrative and analytic support

    $44,400
