Job Summary
The First Year Experience Office at Auburn University is seeking candidates for the position of Administrative Support Assistant to provide administrative, financial, and general clerical support. The FYE Office coordinates orientation programs for new students and their families, first year seminars, and other initiatives for new students. The selected applicant will have responsibility for a broad variety of office support duties and tasks.
Essential Functions
- Answering the telephone/directing calls
- Conducting data entry/gathering/management and report/document preparation
- Coordinating student billing processes with Student Financial Services
- initiating, processing, and maintaining thorough hiring, payroll, and other HR records for undergraduates
- Equipment/property management and reporting
- Preparing and processing of forms, incoming and outgoing mail, and other written or electronic correspondence
- Providing special event support (i.e. customer interaction, roster management & distribution, name tag creation, etc.)
- Managing supplies and inventory
- Maintaining written correspondence
- Supervising and training front desk student assistants (2-3 students)
- Other duties as appropriate

- Excellent communication and organizational skills, as this position will manage a high volume of calls and e-mails while executing other required duties;
- A comfort level in interacting with the public, using personality and decision-making skills to achieve customer satisfaction;
- The ability to work in fast-paced, high-energy environment, particularly in the summers;
- The ability to learn, interpret and apply university and department policies;
- The ability to supervise student assistants;
- Expertise in Microsoft products, particularly Word, Excel and Outlook;
- The ability to learn new technology quickly, both software and hardware;
- Familiarity with Banner Student Information System and the Finance/HR system;
- The ability to work under supervision, in a team, as well as independently
- Additional education above the high school level
