General Summary/Purpose

Responsible for overall coordination of the multi-faceted inpatient and outpatient Center for CSF Disorders program. This includes supervision of medical office coordinators and working closely with clinic supervisors and administrators.

Assists patients, patients' families and referring physicians, to resolve patient related issues to assure the safety and satisfaction of patients and staff. Identifies studies and recommends solutions for clinical service problems. Relays information to patients regarding preparation for laboratory tests and examinations. Maintains familiarity with various types of medical insurance to explain these plans. Obtains pre-certifications as required by patients' health care insurers or managed care providers. Informs patients of costs of care being provided, and guides them to appropriate resources for further information, guidance, or assistance. Arranges or assists in arranging patient transportation. Supervise and set standards for daily productivity. Work with the Director to communicate, manage and develop written policies and procedures for the clinical operations of the Center. Respond to patient and employee suggestions and complaints, in conjunction with the Director and Clinic Administrator.

Coordinates closely with staff in neurosurgery, neuro-ophthalmology, otolaryngology and radiology in ensuring comprehensive and timely assessment and care of patients. Interfaces with faculty and providers in the center to ensure smooth flow of both outpatient clinic as well as inpatient admissions. Coordinate with the Clinic Manager and Medical Director as needed on issues of patient care. Serves as liaison between the clinical staff and the physicians. Manage the process for yearly evaluation of staff members. Secure and coordinate training of employees as needed in conjunction with the clinical trainer or team leaders. Operates personal computer to access e-mail, electronic calendars, and other basic office support software. Researches and prepares specialized weekly/monthly/annual reports. Develop timely accurate reports and projections. Monitor on a regular basis and report variances. Take corrective action when necessary. Needs to be competent in using electronic medical record systems. Completes various request forms for office supplies and equipment as directed.

Types routine correspondence with insurance companies when necessary. Uses personal computer to prepare statistical reports, tables, and charts using knowledge of scientific, medical, literary, or other technical terms. Answers telephone, screens callers, relays messages, and greets visitors. Serves as backup to medical office coordinators. Maintains calendar, schedules weekly and monthly clinic review meetings and meeting rooms. Opens, sorts and screens mail. Perform other projects and duties as related to the practice and clinical department objectives.

Minimum Qualifications(Required)

Requires a high school diploma,

Minimum of five (5) years of related experience,.

  • Requires an understanding of changing rimbursement policies and third-party reimbursement,
  • Previous supervisory experience required,
  • Computer skills and organizational skills required.

Additional education may be substituted for years of related experience and additional experience me be substituted for years of education.

JHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications

Bachelor’s degree strongly preferred, and may substitute for some experience, to the extent permitted by the JHU equivalency formula.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
