Primary Purpose of Organizational Unit

The Office of International Programs ( OIP ) is directed by the Associate Vice Chancellor for International Programs and reports to the Provost. Apart from the AVC, the staff comprises: One Director, one Assistant Director, two Advisors, and an Outreach Coordinator of Education Abroad, one Director, two Assistant Directors, Student Recruiter, and a Program Coordinator of International Student & Scholar Services, one Director and one Assistant Director of the English Language Center, one Business Officer, one Business Services Coordinator, one Program and Study Abroad Coordinator, and one Administrative Manager. Additionally, the office is assisted by a staff of ESL instructors (temporary EPA /Faculty), temporary employees, graduate assistants and undergraduate student workers. OIP is the administrative unit responsible for initiating, coordinating and managing international activity at the university. Among the activities are the development of faculty, student and staff international opportunities and programs, the management of study abroad and exchange programs and other MOUs, assistance to all parties in internationalizing the curriculum, enhancing diversity through the increase of international faculty, students and staff on this campus, and the general fostering of an international environment at UNCW . OIP is also responsible for all immigration matters for the university.

Brief Summary of Work for this Position

The Office of International Programs ( OIP ) Business Services Coordinator provides business services support to all functional units of OIP . This position reports to the OIP Business Officer, and also serves as the backup to the Business Officer for cross-trained roles. This position serves as an office manager who is responsible for the following tasks:

•Manage travel (domestic and international), including booking airfare and rental cars, processing prepaid payments, and reimbursements. Manages faculty-led travel and ensures appropriate funding sources are used for education abroad programs. Utilizes knowledge of currency conversion for international travel financial management.
•Coordinate purchasing, receiving, and reconciliation, including Purchasing Card transactions.
•Process student billing, invoices, check requests, and wire payments.
•Identify needs for financial adjustments and prepare budget documents.
•Prepare deposit transmittals and external invoices, and reconcile payments from students, faculty, staff, and other customers.
•Coordinate scholarship awards for students.
•Process payroll assignments for faculty, students, and temporary employees.
•Coordinate incoming and outgoing mail and shipments, including international shipments.
•Coordinate on-campus meetings, including facilities reservations and A/V technical support as needed.
•Manage work orders and surplus disposal requests, including reconciliation of billable charges to the appropriate funding sources.
•Manage key inventory and building access for employees.
•Manage leavekeeping for multi-functional areas within OIP, including training new employees and supervisors, advising on leavekeeping policies and procedures, and coordinating vacation/bonus leave payouts.
•Manage and reconcile funding sources for international insurance for faculty leaders and students, which includes coordination with Institutional Risk Management.
•Maintain Education Abroad and International Student & Scholar Services data management systems to provide program support and services to students, faculty, staff, and other stakeholders.
•Screen and route telephone calls and walk-in visitors.
•Support a wide range of requests from diverse populations both on and off campus, prioritize requests by importance and urgency, and provide guidance on matters with an established precedence.
•Maintain inventory and supplies for multifunctional offices within OIP .
•Maintain office emergency contact information.
•Aid in the development and implementation of itineraries, campus tours, travel arrangements and reimbursements for non-employee visitors, including international guests.
•Work with the Business Officer to develop new processes and implement improvements across multifunctional areas.
•Recruit, interview, onboard, hire, and manage student workers, including supervision of federal work study award allocations and usage.
•Manage check-out system, training reminders for drivers, and maintenance for OIP golf cart.

Minimum Education and Experience Requirements

Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

•Ability to prioritize tasks and provide guidance on business practices with an established precedence
•Proficiency in Microsoft Office Suite

•Ability to learn university systems, procedures and policies
•Ability to identify, analyze and evaluate situations or problems and implement solutions

Preferred education, professional skills and experience

Bachelor’s degree in Accounting, Business, or a relevant field; or an equivalent combination of training and experience. Preferred experience with Microsoft Excel, including PivotTables and PivotCharts, as well as OneDrive and Teams. Preferred experience with UNCW applications including Banner, ChromeRiver, uShop, FLAC / EPAF, and NextGen.
