Work Schedule: Monday - Friday, 8:00 AM - 5:00 PM; this is a temporary position to end on or before June 30, 2021 with a possibility of renewal on an annual basis if program needs exist.

About the Position:
The Office of Academic Programs has responsibility for the planning, direction, and coordination of academic curriculum, programs, and policies for undergraduate and graduate education, general education, university advisement, assessment of learning outcomes, institutional and program accreditation, program performance reviews, and various other university and system-wide programmatic initiatives. We are seeking an exceptional individual to join our team as the Evaluator II. The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

Under the supervision of the Assistant Vice President of Graduate Studies, the Evaluator II assists with post-baccalaureate and graduate program admissions. Determines the admissibility of applicants at a Graduate level. Verifies subject requirement, GPA, and test scores. Evaluates academic records to verify receipt of all transcripts, test scores, and other transferable coursework. Uses PeopleSoft/CMS to update the grades for the core requirements, GPA, admission decisions, checklist items, registration holds, and admission comments. Evaluates foreign transcripts and researches extensively to determine the acceptability of the institution, coursework, the country's education structure, conversion of the grading system, calculation of equivalent units, and GPA. Ability to receipt all required marksheets, degree certifications, translations, and TOEFL scores. Verifies that matriculated students meet the admission requirements. Interprets Enrollment Reporting System Student (ERSS) reports and makes necessary corrections to student academic records relating to student standing. Serves as the primary point of contact for the Graduate Department Advisors and the Office of Graduate Studies. Communicates with University staff and students on CSU admission policy via email, phone, and in-person. Provides training to Graduate Advisors in the Graduate admission process. Communicates with University faculty and staff on special exception admissions. Assists the Departments with admission appeals from students. Works with departments to follow up on prospective students to make sure files are completed. In coordination with the Admissions Office and Registration and Records, distributes and facilitates the processing of all of the graduate applications. Other duties as assigned.


Essential Qualifications:
Two years of academic records evaluation experience with the full scope of responsibility for making decisions regarding eligibility for the granting of degrees. Completion of a formal training program in academic records evaluation may be substituted for one year of the required experience. Thorough knowledge of resource and documentation processes, as well as knowledge of organizing and assigning the work of a group. Ability to interpret and apply criteria related to unusual cases. Ability to organize and manage workloads. Ability to explain and interpret the application of complex regulations, requirements, and criteria to individual students and faculty members. Ability to safeguard the confidentiality and security of student records. Ability to be responsible for all aspects of functional assignments. Ability to instruct and lead the work of others in evaluation processes.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.


Preferred Qualifications:
Knowledge and experience working with PeopleSoft. Experience with graduate admissions and international transcripts. Equivalent to graduation from an accredited four-year college or university with a Bachelor’s degree in a job-related field. Strong written and oral communications skills. Experience using Excel, Outlook, and Microsoft Office. Ability to relate to students, staff, and faculty in a multicultural setting. Ability to be flexible and multi-task in a fast-paced environment. Ability to work independently and as a member of a team.


Special Working Conditions:
Occasional early morning, evening and weekend hours. Occasionally attend graduation recruitment fairs at other institutions.
