UW Bothell has an outstanding opportunity for a Academic Advisor, Graduate Programs.

The primary responsibility is advising graduate students in programs, including MBA and MSA programs, other future graduate programs, and secondarily advising undergraduate business students. The Graduate Programs Advisor will be responsible for the full life cycle of student advising, from matriculation to graduation, as well as administrative duties related to student retention and success. The incumbent will liaise with multiple offices across campus to stay current on university student services, policies, and procedures.

Responsibilities:

Academic Advising & Student Retention:
• Advise students in via remote media, telephone, email, and in-person meetings at the Bothell campus and Eastside Leadership Center in Bellevue. Provide guidance on academic planning, requirements and elective planning, and financial aid and scholarship resources available.
• Develop, in coordination with the Assistant Director of Graduate Programs, strategies to improve and maintain student retention.
• Track quarterly student enrollment using computerized confidential student records tracking enrollment management systems such as MyGrad, SDB, Slate, Navigate, and Excel.
• Monitor course registration in special courses such as Leadership Courses and Global Study Tour, and others as needed.
• Maintain and provide accurate information on academic progress, program requirements, policies, procedures and dates/deadlines. Run student degree audits and manage degree requests and graduation activities.
• Closely monitor Address student concerns and issues. Escalate to Assistant Director of Graduate Programs as needed.
• Conduct orientation programs for incoming students. Design and update orientation and onboarding materials and maintain student Handbook of policies and procedures.

Program Administration:
• Under the direction of the Assistant Director of Graduate programs, and in consultation with Program faculty, develop and maintain policies and procedures for student services.
• Create/modify/maintain surveys, class lists, and listservs. Generate information for reports using databases and other resources.
• Process applications for ICF Coaching and liaise with ICF Coach Manager and coaches.
• Process applications and paperwork for scholarships, Global Study Tours, Independent Studies and Internships. Collaborate with Assistant Director, Associate Dean and faculty as needed.
• Update and maintain MBA and MSA Canvas sites.
• Provide course scheduling support and assist with course change and new course applications. Assist with maintaining the UW time schedule system and all relevant registration information for all degree program.
• Assist the Graduate Programs team in planning and executing off-site leadership courses.
• Assist the Graduate Programs team to develop processes, reports, strategies, events, marketing, and recruiting materials to track and enhance recruiting and admissions results.
• Act as a liaison between the Graduate School, the Center of International Education, Registrar, and other campus partners.
• Serve as School of Business expert on existing student policies and procedures.
• Assist planning and represents School of Business Graduate Programs at all student events.
• Attend meetings and trainings as needed.
• Assist with web content updates.
• Perform other duties as assigned.

Recruitment and Admissions:
• In collaboration with the Program Coordinator, accurately document and maintain the student/applicant CRM database.
• In collaboration with the Program Coordinator, onboard incoming students. Monitor applicant accepts and declines. Assist with Graduate School admission petitions.

Minimum Requirements:

• Bachelor’s Degree in Education, Social Sciences, Business, or related field.
• Minimum three years of advising, student services or closely related experience at a higher education institution.
• Ability to work both independently and as an effective team member in a fast-paced environment.
• Proficiency in standard office software.
• Strong interpersonal skills, including demonstrated ability to communicate effectively both orally and in writing.
• Ability to work with a diverse constituency.

Equivalent education and/or experience may substitute for minimum requirements.

Desired:

• More than three years of advising, student services or closely related experience at a higher education institution.

Conditions of Employment:
• This position requires a flexible schedule and the ability to work some evenings and weekends.
