Position Summary

The senior director of Enrollment Services Operations (ESO) directs and manages all processing operations and systems support for Enrollment Services. ESO is an integrated services area, performing functions often delivered by separate processing and systems functions embedded in the offices of admission, financial aid, and records and registration/registrar at many other institutions.

ESSENTIAL JOB FUNCTIONS

Vision & Strategy Alignment

The Senior Director provides leadership, vision and strategic direction for the Enrollment Services Operations department and collaborates with other leadership in Enrollment Services to develop and implement cross-departmental initiatives in accordance with College mission and vision, and leads initiatives. Establishes strategic goals and objectives for the department. Represents Enrollment Management and Student Services (EMSS) on the Enterprise System Steering Committee. Recommends approval of College-wide projects. Serves as Project Sponsor for EMSS projects. Provides direction for continuous assessment and improvements for business processes intended to improve the student experience and realizes gains in efficiency and accuracy. The senior director is responsible for oversight of all enrollment-related communications to admitted and enrolled students.

Operational Leadership

The senior director leads a team of three assistant directors (who in turn lead a combined team of more than twenty total employees) to manage department operations, which includes Integrated Processing (with one assistant director overseeing record and registration processing and another overseeing financial aid processing) and Integrated Systems. Supervises the ESO leadership team in performance of job duties and responsibilities. Assigns and delegates tasks, provides direction, resolves work problems, communicates job expectations, leads goal setting and performance evaluations, devises professional growth development opportunities, and recommends pay increases and promotional opportunities; interprets, explains, implements and enforces College policies.

Fiscal & Administrative

Prepares, monitors, controls, and ensures compliance with department budget. Monitors, verifies and reconciles revenue and expenditure of budgeted funds. Keeps secure and accurate records. Maintains required documentation, including contract, status reports, staffing reports, budget information, and other data. Works directly with the Director of Financial Aid to ensure compliance for all financial processes and systems support. Recommends policy and process changes accordingly. Maintains confidentiality of student and personnel records, and maintains personnel files, financial data, and other sensitive information.

Other Duties and Responsibilities

Manages multiple assignments of varying complexity while meeting federal grant as well as internal regulations and procedures, with the ability to adapt to changing needs of the College and business partners.

Usual Physical Requirements

The employee regularly exhibits digital dexterity when entering data into computer, frequently sits for extended periods of time, and occasionally stands and walks. Employee occasionally reaches with hands or arms and stoops, kneels, crouches or crawls. Employee converses verbally with others in person and by telephone. Vision demands include close, detailed vision when focusing on computer screen. Employee occasionally lifts or exerts force up to 10 pounds.

Working Conditions

Typical office environment. Regular exposure to moderate noise typical to business offices. Must travel to various Columbus State campuses and sites.

Knowledge, Skills and Abilities: Knowledge of: federal and state financial aid regulations, higher education records and registration administration, student recruitment support operations, higher education operations systems (particularly enterprise-wide student information systems and recruitment/outreach-oriented CRM systems), and budget management and administration. Skill in: effective leadership practices, excellent verbal and written communication, motivational, and presentation skills; project management; planning and organization; working within a budget; data preparation and data analysis; software usage including office suite applications; proficiency in data presentation software for creation, publication or presentation of graphics and tables; customer service; conflict resolution. Ability to: apply management principles to practical situations within a single department or functional area; manage and accomplish results through delegation of accountability and responsibility to management staff; strategically analyze enrollment and financial data; develop and maintain effective working relationships with College associates and general public; maintain confidential and sensitive information; manage multiple assignments at once; provide administrative input and oversight; demonstrate flexibility; effectively work with persons of varying cultures and diversity.

Minimum Qualifications:

Master’s Degree in Education, Administration, Student Personnel, or a closely related field with at least five years' progressively responsible experience in financial aid administration or an appropriate combination of related education and experiences. State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s).
