The Visits and Events Coordinator reports to the Assistant Director of Admissions for Welcome Team and provides oversight for all campus visits and admissions events, collaborates with internal and external constituents involved, and coordinates with the recruitment team and other admissions staff for the planning and implementation of visits and events while adhering to all university policies and procedures. Additionally, the Visits and Events Coordinator prepares visit and event reports, participates in staff meetings, assists in managing communication flows to prospective students and applicants, and collaborates with other department units to achieve department goals.

Responsibilities:
Provide leadership and expertise to the wide variety of on-campus visit programs that UW Bothell hosts for the recruitment of prospective students, their families, and guidance counselors.
This includes:

Events:
• Planning and coordinating the complex logistics that are required to host successful visit programs and events.
• Booking and reserving space.
• Contacting and working with on-campus audiences to ascertain their availability to participate in programs.
• Negotiating with vendors who provide food and other services for campus events.
• Coordinating with the admissions team to provide event coverage.

Individual and Group Visits:
• Arranging campus visits and tours for prospective students and groups
• Ensuring that all requested meetings, appointments and experiences that UW Bothell provides are fulfilled.

• The Visit and Events Coordinator is also responsible for utilizing the CRM system (currently Slate) to execute registrations for all visits and events, ensure that all registrations are maintained, and that all information about daily visit availability throughout the calendar year is accurate and up to date.
• In collaboration with the welcome team, marketing & communications team, and recruitment team, the Visit and Events Coordinator is responsible for ensuring that all prospective students requesting a visit are communicated with promptly and accurately. This communication includes the sending of confirmation and reminder messages.
• Supervision of the Student Ambassador staff.
• Other duties assigned.

Minimum Requirements:
• High School graduation and four years' of progressively responsible work experience involving public contact such as sales promotion, public information, or in the hospitality industry OR equivalent education/experience.

Equivalent education and/or experience may substitute for minimum requirements.

Additional Requirements:
• Knowledge and experience of admissions processes.
• Excellent written, oral, and interpersonal communication skills.
• Excellent organizational skills.
• Ability to work effectively and cooperatively with colleagues, the public, students, faculty, and community members including those from various cultural and socio-economic groups.
• Ability to work independently in developing and implementing on-campus events.
• Effective management of scheduling appointments.
• Ability to collect data and create reports using database systems.
• Experience using a Customer Relationship Management system.
• Knowledge of federal, state, and local laws, regulations, and policies related to student records, information systems, admissions, and registration.
• Must be dependable, accurate, have attention to detail, be a good team member, and possess a positive attitude and good customer-service skills.

Desired:
• 4-5 years of work in an admissions office serving diverse populations in an educational setting.

Conditions of employment:
• This position will be located in an office environment, with frequent interruptions.
• The work will be performed during regular business hours, Monday through Friday or as negotiated with the supervisor.
• Work will be performed across UW Bothell campus. This role is required to travel/walk to other buildings on campus as needed.
