The Budget Administrator & Account Coordinator will assist in nearly all aspects of financial administration of the Division of Strategic Initiatives and Innovation, and will provide cross coverage between other like positions. This position will report to the Senior Director of Operations, and working alongside the Budget Analyst, will coordinate with internal support staff, and external collaborators and partners as needed.


• Bachelor’s Degree or appropriate combination of education and work experience.

• Minimum 3 years in finance and administrative work experience required.

• Experience in accounting and grant administration preferred.

Job Specific Qualifications

• Experience with Microsoft Office (especially Excel).

• Excellent attention to detail.

• Knowledge of university applications (Hyperion, PeopleSoft) or similar ERP systems.


• Assists with reconciliation of Institutes sponsored accounts.

• Maintains library of sponsored grant agreements.

• Prepares and tracks invoices and requisitions for payment.

• Assists in facilitating vendor and subcontractor coordination.

• Processes travel and employee reimbursements.

• Maintains databases and tracking systems and generates reports.

• Responds to inquiries for information.

• Confirms compliance with University policies regarding expenditures and procurement.

• Responsible for the collection, preparation, reconciliation and timely processing of over 50 procards each month.

• Assists with proper chart-string identification.

• Addresses missing receipt documents with card holders and troubleshoots issues (to include remote staff).

• Communicates with staff regarding requirements and deadlines.

• Enter and verify accuracy of all transactions and information entered into PeopleSoft for new hires, terminations, leaves of absence, retirements, etc. to ensure appropriate salary and fringe costs meet respective budget allocations as needed.

• Maintains files and documentation in accordance with department and University protocols.

• Assists with specials projects and events as needed.
