Primary Purpose of Organizational Unit

Academic Affairs Resource Management (“AARM”) supports the Provost & Vice Chancellor for Academic Affairs in the oversight of divisional personnel and financial resources. This unit has three primary functions: (1) Academic Personnel Administration, (2) Divisional Business Administration, and (3) a shared services function that supports divisional units that do not have a dedicated business officer. AARM provides both operational/transactional support and data/analysis that enables planning, informed decision-making, and business modeling. We believe the Academic Affairs Resource Management ( AARM ) team advances the Division of Academic Affairs through subject matter experts that integrate across the division to promote and ensure success by seeking solutions while advocating for accountability. The Division of Academic Affairs is comprised of 12 major units (including four academic colleges) and over 100 departmental units, which represents approximately 75% of a $300M university budget and about 60% of a nearly 1,900 permanent and time-limited employees.

Brief Summary of Work for this Position

The Director of Academic Resource Administration is the senior operational business professional for the Division of Academic Affairs. Collaborating with the Director for Academic Personnel Administration and the Associate Vice Chancellor ( AVC ) for Resource Management, the Director provides leadership for the business administration professionals across the division. The Director routinely communicates with business officers, business services coordinators, academic administrators, and senior leaders on matters related to resource utilization and administration across the division. This position analyzes resource utilization and distribution across the division in order to advise the AVC on resource allocation matters. The Director is responsible for the development of divisional policy and operating practice related to resource administration, and this position routinely analyzes policies for implementation across the Division of Academic Affairs.

In addition to the divisional responsibilities, the Director provides supervision and leadership for the business professional reporting to the Academic Affairs Resource Management unit. The Director directly supervises five business professionals (three business officers and two business services coordinator) that are charged with providing shared services support for academic administration units without dedicated business professionals.

Minimum Education and Experience Requirements

•Bachelor’s degree in business administration, public administration, or related business area and three years of professional accounting experience, of which at least one is supervisory; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Preferred education, professional skills and experience

•Earned Master’s degree in business administration, public administration, or closely related field

•5 years of professional business administration experience

•3 years of diverse supervisory experience of professional staff and support positions

•Experience managing professional staff without authority utilizing influence

•Experience in business administration in public higher education

•Experience with financial modeling for academic degree programs

•Ability to engage with stakeholders and lead through influence without authority in order to achieve common goals

•Ability to anticipate the needs and requirements of senior leadership to proactivity prepare recommendations, information and solutions

•Ability to proactively solve problems and identify solutions for routine and non-routine challenges

•Ability to develop and implement policies and procedures across a complex organization

•Ability to create innovative solutions for emerging business needs

•Ability to utilize advanced Microsoft Excel functionality in order to track, analyze and report financial data

•Ability to create advanced financial models

•Ability to analyze complex financial data

•Ability to explain complex financial information to stakeholders whose core competency is not financial.

•Knowledge and ability to utilize ERP skills

•Knowledge of Generally Accepted Accounting Principles ( GAAP ) and fund accounting

•Knowledge of current business practices and application of practices in higher education

•Excellent verbal, written and interpersonal communication skills that allow for the establishment of solid working relationships

•Intermediate to advanced technical skills to use a variety of software and systems (Microsoft Word, PowerPoint, Excel, Teams, Zooms, SharePoint, Forms, Power Automate, DocuSign, etc.)
