Grants Development Manager



Work Site Location: Coeur d' Alene Campus

Job Summary:

The purpose of this position is to facilitate the acquisition of grant funds from external, public, and private agencies in support of the College’s strategic priorities to advance ongoing and new initiatives. This position is responsible for coordinating the College’s internal process for grant development including the pre-award planning, organization, preparation, submission, and the post-award administration of the various grants of a multifaceted academic institution.

Job Duties:

This list includes, but is not limited to the following:

  • Manages and oversees grants development for the college.
  • Administers the college’s internal process for grant development, submission, and acceptance of grant awards.
  • Provides leadership and guidance in the development of the College’s annual grant acquisition strategy. Works with the College leadership and Director of Development in planning, implementing, and evaluating grant development strategies. Generates grant acquisition strategy recommendations to the College leadership and the Development Department to address defined and projected needs.
  • Implements and adapts the grant seeking process and procedures to best meet College needs and success.
  • Develops and implements a strategic decision-making matrix that involves a collective team approach to ensure grant proposals have college endorsement for their potential to advance the strategic plan and institutional priorities while following college policy and procedure.
  • Supervises Grants staff, including hiring, training, scheduling, assigning and prioritizing work.
  • Collaborates with the Director of Development to develop the grants office annual budget and manages the budget throughout the fiscal year.
  • Conducts grant research to identify appropriate external grant opportunities and potential funding sources in support of the college’s grant acquisition strategy, strategic goals, and emerging needs and interprets the College’s commitment related to acceptance of external funds. This includes review of federal, state, and local legislative agendas, grant publications and other resources including collaboration with College state and national professional counsel.
  • Ensures college-wide dissemination of information on funding opportunities appropriate to departmental and programmatic needs. Develops, edits, and disseminates information to college community through internal communication tools and personal interaction with departments and divisions.
  • Develops and cultivates relationships with program officers from funding agencies to increase institutional capacity to secure funding thereby advancing the College’s ongoing and new initiatives. Develops and maintains a working relationship with grant program offices at Federal, State, and local levels as well as private industry, which requires appropriate national, state, and regional travel.
  • Provides oversight, management, technical and monitoring of all College grant activities and grant reporting in collaboration with appropriate division, departments and program directors of all funded projects to ensure compliance with terms and conditions of funding agencies.
  • Reads and interprets requests for proposals and funding guidelines from government agencies and foundations to determine if appropriate for college and how best to respond. Researches information and data necessary for grants. Develops outlines, timeliness staffing, budgets, and college boilerplate templates for grant proposals according to funding guidelines. Coordinates organizational meetings with faculty/staff to discuss guidelines, general ideas, design projects, and assist in writing sections of the proposal. Edits and organizes grant proposals written by other staff and faculty. Develops and writes grants proposals.
  • Develops and facilitates workshops for and provides technical assistance to College staff, faculty, administrators, and teams in the area of grant wiring and development. Provides information about proposal development strategies, policies and procedures related to grants, grant terminology, grant management, and other grant related topics.
  • Develops and maintains policy guidelines and grants management procedures with respect to grants awarded to the College. Provides advice to faculty and staff to insure that grant funds are maximized and that funds awarded are spent in accordance with the guidelines provided by the funding source. Works closely with the VP of Business and Finance to ensure budget guidelines are in place for grants administration.
  • Maintains necessary records, files, reports, databases, and resource materials pertinent to the grant office activities. Works with staff and faculty to assure that files and records of grant funded projects are kept meeting all federal, state and local guidelines.
  • Maintains institutional records of proposals submitted by faculty and staff.
  • Disseminates grant award information to faculty, staff, students and other constituents of the College.
  • Coordinates efforts of outside consultants and/or contracted support on approved projects.
  • Assists the Development Department, which includes the NIC Foundation and Alumni Relations, in identifying and securing grants from the private sector.
  • Meets with various regional entities, including business, industry and non-profit partners, to explore the development of collaborative grant related projects and partnerships.
  • Provides timely and consistent reporting to College leadership on grants efforts.
  • Participates in activities of the Council for Advancement of Support of Education and other professional organizations to ensure best practices in grants seeking and administration are employed.
  • Maintains a positive, helpful, constructive attitude and work relationship with supervisor, college staff, students, and the community.

Minimum Qualifications

Education and Experience : Bachelor’s Degree and 3 year(s) of experience

Additional Minimum Qualifications : Bachelor's degree and a minimum of three years full-time related experience and/or training.

  • Proficiency using personal computer, including Microsoft Windows and Office applications

  • Some evening and weekend work will be required to meet deadlines.
