Description of Research Materials Procurement

M.D. Anderson Library's Research Materials Procurement (RMP) department handles purchasing and payment for library materials and is also the home of interlibrary loan services. Work will include supervision and training of student employees, placing orders for library materials both for purchase and through ILL, as well as receiving incoming materials, creating vouchers to pay invoices, assisting with the preparation of financial reports, and working with accounts payable as needed to address financial issues, set up and maintain vendors, and other tasks as needed.

RMP staff uses a variety of software in their daily work, including the Alma library services platform, ILLiad ILL management system, PeopleSoft, MS Office Suite, and other software as needed. The ability to rapidly learn new software and adapt to changing technologies is essential to success in this position.

Library purchasing and scholarly materials are rapidly evolving areas, and the person in this position will need the ability to adapt to changing priorities, technologies, and routines. The successful candidate will be self-motivated, possess a positive attitude, and be able to adapt their work style to the volume and nature of work on a given day.

This position is in the Research Materials Procurement (RMP) department of M.D. Anderson library. Department work hours are 8 am to 5 pm, M-F.

Provides library services and coordinates the daily operations of a specialized function, program, or service within the university libraries, typically using automated systems.

  1. Coordinates assigned processes and functions within special collections, bibliographic services, electronic resources, or other library information services and systems. Responsibilities may include materials or transaction processing, ordering, and/or receiving.

  2. Researches and resolves discrepancies, special requests, and issues related to library processes.

  3. Communicates with vendors, publishers, and subject librarians as needed regarding orders, invoices, receipts, or current holdings.

  4. Prepares regular and ad hoc reports on unit activities as required.

  5. Assists in developing library policies, procedures, goals, and changes to services.

  6. May provide reference and information services to library patrons as needed.

  7. Serves as backup for related library processes as assigned.

  8. May provide individual and group training in support of assigned library programs.

  9. Performs other job-related duties as assigned.



Additional job duties:

  • Process Interlibrary Loan and document delivery requests
  • Search bibliographic utilities, databases, electronic and print sources to locate requested materials
  • Order electronic and physical books, scores, DVDs, and other materials
  • Receive incoming physical materials ordered through purchase or via ILL
  • Process invoices for payment
  • Supervision and training of student workers in coordination with ILL Manager
  • Provide excellent customer service in person, via telephone, and via email
  • Contact other libraries when necessary
  • Troubleshoot minor system errors and patron issues
  • Assist with other duties when necessary

Qualifications :

18 months and 3 years experience

Requires specialized training in basic trades, principles, procedures, practice, routines, or techniques in a specific area or trade which might normally be acquired through up to 18 months of education or training beyond the high school level. Vocational competence in the operation of mechanical or electronic equipment may be required. Requires a minimum of three (3) years of directly job-related experience.
