Assistant Registrar/Academic Support Specialist
Job Summary:
Under the direction of the Registrar/Coordinator of Academic Support, manage students and alumni files in ShareFile. Work closely with MTSA’s IT Department and with MTSA’s CAMS representative. Serves as CAMS academic lead with data from student enrollment, course information, grades, and provides information to the National Student Clearinghouse. Assist with all aspect of academic programs and school events
Qualifications:
- Bachelor's degree preferred
- A minimum of two (2) years’ experience in an office or academic setting, preferably working with student records
- Good computer skills including Word, Excel, and PowerPoint
- Ability to multitask with attention to various events and schedules
- Good interpersonal skills essential with the ability to work with students, staff, faculty, and the public
Responsibilities:
- Maintains MTSA’s student information system (CAMS) regarding academics (master course list, register students for classes, enter grades, enter SEE and NCE results, maintain and print transcripts, maintain document tracking section).
- Responsible for the timely, accurate, and compliant reporting of enrollment statuses to the National Student Clearinghouse.
- Respond to requests for references, verifications, and transcripts in a timely manner (maintain log of all verification and transcript request)
- Assist with all aspects of Academics – schedules, calendars, ordering materials, etc.
- Assist with Faculty Development Days – help prepare materials, help plan and assist with food
- Assist with all processing associated with graduation (uploading data to NBCRNA, copying documentation that will be in students file –diploma, releases, final transcripts, etc.)
- Assist with processing state and local memberships (NBCRNA, AANA, TANA, and TASNA)
- Maintain database tracking transcripts and APN forms being sent to boards of nursing and prospective employers and employment of new graduates
- Maintain student/alumni/faculty electronic files
- Maintain all student and faculty handbooks, including updating to include changes and submitting for upload to the MTSA website.
- Maintain online academic schedule calendars, assigning course location, and any special classroom set up
- Maintain and update syllabi archives for the Practice Doctorate and Completion Programs
- Maintain and update all learning objective records and reports
- Maintain excel spreadsheet tracking employment/start dates of new graduates
- Phone receptionist every afternoon from 1:00-6:00
- Provide clerical support including word processing, scanning, filing, copying, faxing, sorting mail, and assisting with mailings
- Assist with school events (Intensive Week, Interviews, Family Day, Graduation, etc.)
- Other duties as assigned
- Participate in service projects

Reports to the Registrar, Director Academic Coaching
