The School of STEM is fast-growing and prepares students to enter the science, technology, engineering and mathematics workforce and/or to qualify for related graduate programs, health related professional schools, and teacher education programs. As a member of the School of STEM’s Undergraduate Academic Services team, the Assistant Director must have a strong commitment to encouraging and serving a diverse population, including underrepresented students.

The Assistant Director, Undergraduate Academic Services will provide direct support to students and provide leadership oversight to front office operations. Approximately 60% of this position will provide direction, leadership, and oversight of academic programs, including advising and other academic support for students and development of programmatic policies and procedures. This position will also be responsible for managing front counter operations, including the authority to hire staff, evaluate job performance and make appropriate professional development recommendations, and take corrective action if needed. The Assistant Director will work closely with the Director of Undergraduate Academic Services to ensure efficient and effective communication across staff, faculty, and campus partners.


• Advise STEM students, virtually and in person, in group sessions, via phone and email on appropriate courses of study, program and graduation requirements and career possibilities. Assist students with University administrative processes.
• Maintain a welcoming and supportive advising climate for all students
• Counsel students who are experiencing academic problems, make referrals to other campus resources as appropriate.
• Maintain confidential student files, including appropriate documentation for accreditation purposes as needed.
• Lead on the development and/or maintenance of mechanisms for tracking student data, including demographics and retention rates.
• Prepare or review and sign Change of Major Forms, graduation documentation, and other student services paperwork.
• Provide information for front counter staff on academic programs to ensure they in turn provide appropriate and professional responses to inquiries; develop boilerplate text for communications sent out by staff.
• Participate in transfer and freshman new student orientations; develop, coordinate, or participate in School of STEM, orientation events.
• Create or contribute to reference materials for student use in print or online, including a student handbook and web documentation of program policies. Maintain student portions of the website.
• Coordinate and/or participate in business and community outreach activities.
• Participate in the professional academic advising community; maintain strong relationships with and act as a resource for other campus partners.
• Act as a liaison to the UWB Division of Enrollment Management.

• Under the direction of the Director of Undergraduate Academic Services, and in consultation with Program faculty, develop and maintain policies and procedures for student services.
• Serve as a STEM expert on existing student policies and procedures.
• Provide input to faculty on development of STEM curricula; serve on degree track development committees. Provide data for course and degree proposals as needed.
• Review new course proposals as needed.
• Develop a student satisfaction survey, and create quarterly and annual report.
• Advise Director and other STEM staff in developing course schedule.
• Participate in convocation and commencement; develop, coordinate, and participate in School graduation events.
• Assist in marketing courses to students.
• Prepare narrative or statistical reports.
• Other duties as assigned

• Hire, train, and supervise a team of 3-4 part-time student assistants.
• Manage and prioritize project assignments.
• Manage development and performance of the Administrative Assistant for Undergraduate Academic Services.
• Create incentives for front counter staff to maintain morale and high satisfaction with work.

• Develop and maintain productive working relationships with Admissions Advisors; provide accurate and current information about STEM offerings and admissions requirements.
• Serve as backup to the Admissions Advisors for recruitment and admissions advising for the School.
• Contribute to and help implement short- and long-term plans for University recruitment and pre-admission advising functions.
• Participate in community, business outreach and K-12 outreach.

Minimum requirements:
• Bachelor’s Degree in STEM field, Education, Psychology, or related field.
• At least 4 years of experience of advising, student services, or closely related experience at a higher education institution.

Equivalent education and/or experience may substitute for minimum requirements.

Additional requirements:
• Demonstrated ability to form productive working relationships with students, faculty, staff, and community members from a wide variety of backgrounds, and a commitment to providing excellent student services in a climate of multicultural understanding and appreciation.
• Knowledge of federal, state, and local laws, regulations, and policies related to student records and information systems, admissions, and registration.
• Demonstrated ability to communicate effectively interpersonally and in writing, with a proven ability to give public presentations as needed.
• Proficiency in standard office software.
• Supervisory experience.

• Demonstrated initiative, project management, and leadership skills. Ability to develop, implement, assess, and refine initiatives in a deliberate, collaborative, timely, and effective manner.
• Experience in organizing and developing a team and working with student/peer advisors.
• Knowledge of computer software including UW systems (e.g., Word, Excel, Access, EARS, SDB, SLATE, DARS, Navigate).

Conditions of employment:
• Work is performed in an office setting or remotely during regular business hours.
• Occasional evening and weekend work.
