General Description of Position

Under the direction of the Beatrice Assistant Campus Director/Dean of Students, the Administrative Assistant I provides general clerical support for the campus Student Affairs division and Welcome Center office personnel. Primary responsibilities include digital imaging of student records. Serves as a member of the Student Affairs team, prepares reports, correspondence, filing, maintaining paper/imaging of student records, and assists students.

Provides primary support to the Beatrice campus Student Affairs office for imaging of student records. Enters student files into our College network imaging system. Organizes and prepares student files for imaging. Uses scanning equipment to image and index documents. Verifies the integrity of the information. Retrieves documents from the imaging system for students and staff.

Delivers positive, welcoming assistance to students and guests to the Welcome Center. Responds to inquiries in-person, by phone, email, and/or mail. Directs inquires to the appropriate office.

Prepares letters, memos, reports, minutes and other items related to Student Affairs upon request using spreadsheets, word processing and email/calendar software.

Operates personal computer including printer, telephone equipment with voicemail and automatic call distribution system, copier, fax machine, document imaging system and other equipment as assigned. Software includes Microsoft Office (Word and Excel), document imaging and retrieval software, and Microsoft Outlook

Minimum Qualifications

1. High School graduate or GED .
2. Two (2) years of office experience or one (1) year office experience plus one (1) year of related training.

Desired Qualifications

1. AAS degree in Office Professional, Business Administration, Computer Information Technology or another related field.

Normal work hours for this part-time non-exempt position are scheduled between 8:00 a.m. and 5:00 p.m., Monday through Friday. Special projects and assignments and periodic increases in workload may require evening and weekend work on an infrequent basis. This is a part time regular position for 24 hours per week.
