Minimum Qualifications
  • Bachelor’s degree and at least three years of related experience (admissions, scholarships, financial aid, or scholarship programs).
  • Experience working with a HigherEd database software such as Banner, PeopleSoft or other Similar Software.
  • Work history of proficiency in written and oral communication.
  • Work experience showing strong organizational skills demonstrated experience with the principles and practices of equity, diversity, and inclusiveness and inclusive excellence ability to build collaborative relationships.

Essential Duties and Responsibilities

The primary purpose of this position is to coordinate all merit and need based university scholarships. Will work collaboratively with the Sr. Director to ensure the leveraging of university scholarships for new student recruitment and continuing student retention.

Duties and responsibilities of the position include but are not limited to the following:

  • Manage, and reconcile institutionally funded scholarship funds.
  • Manage, Train, and support all designated staff.
  • Serve on a Scholarship Advisory Council.
  • Work with the Sr. Director of University Scholarships to propose a new scholarship budgets.
  • Coordinate with the Sr. Director of University Scholarships to understand and monitor the US operating budget.
  • Monitor federal, state and institutional regulations regarding scholarship funding.
  • Propose policy improvements and work with the Sr. Director of University Scholarships to create/modify institutional policies as needed.
  • Keep track of third-party software options including software being used at App. Support technical staff to ensure the functionality of all products meets App State standards.
  • Examine processes for ways to improve access to students and ensuring we are compliant with any and all regulations.
  • Establish a working group for all fund administrators and provide continual training to the group. Determine and manage access privileges for scholarship software and serve as primary campus contact to departments in projecting, tracking and awarding scholarships.
  • Collaborate to develop technological solutions to streamline business processes.
  • Collaborate with the Sr. Director of University Scholarships and University Advancement on identification of important scholarship initiatives.
  • Support the Sr. Director of University Scholarship to assist with sound fiscal modeling and management, with consideration of federal and state regulations for awarding scholarships and financial aid, to support the University’s vision and mission.
  • Distribute University allocation budget notices to each awarding entity.
  • Create a centralized and coordinated presence for campus and college-based scholarships to increase awareness of scholarship opportunities, including a robust website for scholarship information.
  • Collaborate with the Dean’s office in each academic college, University Advancement (particularly donor services), the Office of Admissions, the Office of Student Financial Aid, University Communications and the Division of Student Affairs.
  • Track scholarship commitments and expenditures. Provide projections of the Scholarship recurring costs to the Sr. Director on a regular basis.
  • Serve as a liaison for the Office of Student Financial Aid and University Scholarships for multiple groups included but not limited to The Honors College and Watauga Residential College.
  • Consult with each entity on branding and recruitment practices.
  • Create and oversee the electronic application management system for each program.
  • Manage the application review system while overseeing the selection process.
  • Provide reports, analyze application data, and offer a strategic information about scholarship trends to the Sr. Director.
  • Collaborate with the Office of Admissions and the Associate Director of Communications in Financial Aid to market scholarship programs to high school students and high school counselors.
  • Oversee the selection of the incoming scholars by managing the review process and serve as a guide for the selection committees.
  • Support Scholarship Advisory Boards approved by the Sr. Director and other Administrators.
  • Ensure that University Scholarships is following the vision, goals, and plan of the Institution, and Office of Student Financial Aid and University Scholarships.
  • Market opportunities to students, faculty and staff while serving as a contact point for external partners.
  • Help others understand the purpose and need of these scholarships.
  • Other duties as assigned.
