Assistant to the Director, Office of Facilities Management

Position Summary

At the direction of the Facility Director, you will provide supervision of the Downtown Medical facility to ensure all programs and events are running smoothly and that all appropriate SUNY, Campus, School and Department policies and procedures are followed.

You will also:
• Direct the creation, implementation, and consistent application of multiple preventative maintenance contracts. The incumbent will work with the appropriate constituents to ensure that all maintenance contracts are current, billing and collection funding is implemented in a timely manner and that vendor support is at the contract level.
• In conjunction with the Director, develops, maintains, interprets, analyzes, and executes policies, procedures, rules, and standards for the School with regard to the overall management of the facilities under the aegis of the Jacobs School of Medicine and Biomedical Sciences.
• Work with the Director of Facilities, and appropriate lab staff on ensuring safety protocols are in place and followed.
• Provide administrative support with regard to room scheduling, key requests, customer service responses and other operational needs.
• Provide oversight of facility notices and work orders in the building including the tracking of projects.
• Provide support in the development of a policy and procedure manual.
• Maintain and update the facility website.
• Assist in coordination of events at the Jacobs School of Medicine and Biomedical Sciences with the client and service providers, including set-up and breakdown of tables and chairs.
• Monitor overall security of facility at all times in conjunction with contracted security agency and Facilities Director.
• Act as lead School Safety Officer during any emergency situation including activating the emergency notification chain of command.
• Liaison among departments, functions, or groups, within the Campus and with the community. Travel between campuses and other locations.
• Be responsible for the Jacobs School of Medicine space survey and related documents.
• Work with the Director of Facilities and other colleagues on inventory/asset control and management.

Salary Range: $35,000 – $45,000

Minimum Qualifications

2 years of administrative experience
