MINIMUM PAY RATE : $48,720.00 annually

Position Summary

POSITION SUMMARY
This position serves as the primary contact for students and parents providing in-depth advising and resolutions in regards to financial aid eligibility. Position is responsible for interpreting financial aid regulations, analyzing student data, and implementing procedures to ensure regulatory compliance and delivery of financial aid. Manages one or more federal, state or military aid/benefit programs; coordinates all on-campus and off-campus financial aid events. Performs all supervisory functions over the full and part-time financial aid front desk staff and student workers. Performs high audit risk and compliance related tasks, such as reconciliation and Return of Title IV Funds (R2T4) processes. Serves as a backup for all critical functions of the office and supports the assistant director and director as needed.
ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES
1. Professionally represent Joliet Junior College and uphold the College’s core values.
2. Coordinate all on-campus and off-campus events, such as financial aid application completion nights, high school financial aid presentations, cross-departmental events, and other community events. Schedule and monitor staffing for each event.
3. Coordinate the yearly updates of all financial aid materials, including the handbook, catalogs, brochures, forms, web pages, etc. Review office policies and procedures and recommend changes as needed.
4. Represents the college as a speaker, presenter, or in similar capacities in high schools, service clubs, community events, and other activities of a similar nature.
5. Perform the selection, training, direct supervision, and evaluation of, full and part-time front desk staff and student workers. Develop and conduct training and assessment for student workers.
6. Monitor front desk schedule and adjust work hours as needed. Work with assistant director to schedule other staff as needed. Oversee the payroll for the front desk staff and student workers.
7. Perform as the backup on all critical processing functions of the office such as ISIR imports, SAP, autopackager, etc.
8. Advise and assist students, parents, supporters, staff, and faculty concerning all aspects of financial aid/veterans via phone, email, chat, and in person.
9. Process and monitor the aid/benefit program assigned to ensure awards and disbursements are correct and timely.
10. Perform verification and make necessary corrections to student financial aid applications to determine eligibility. Review documents submitted by students and parents to determine eligibility.
11. Demonstrate thorough understanding of awarding processes (i.e. packaging of grants, campus work-study, direct loans, and scholarships). Demonstrate ability to adjust aid due to a change in the student’s eligibility and effectively and professionally communicate reasons for adjustment.
12. Maintain a thorough understanding of institutional, federal and state financial aid regulations and policies.
13. Assists in the reconciliation of accounts with the Student Accounts and Payments / Finance offices.
14. Conduct financial aid workshops, new student orientation presentations, loan groups for new borrowers, and assigned financial aid activities.
15. Understand, utilize, and speak competently about reports generated for maintenance and reconciliation of federal and state aid programs.
16. Communicate effectively with both internal and external stakeholders with regard to financial aid issues.
17. Regularly attend and participate in workshops, seminars, and professional conferences. Complete professional development courses as assigned, and demonstrate success with related assessments.
18. Actively seek out and participate in various on-campus teams, committees, task forces, etc. Participate in achieving departmental and college goals and objectives.
19. Demonstrate a positive attitude and a team approach toward accomplishing departmental/institutional goals, and cultivate these same characteristics in employees/student workers supervised.
20. Assist the director/assistant director with the required materials for compliance audits and program reviews.
21. Maintain a high level of confidentiality and protect student information in compliance with FERPA and HEA laws.
22. Perform related duties as assigned.
