General Summary/Purpose

The Academic Advisor is integral to the academic experience of students in the MSN (Entry into Nursing) Program at the School of Nursing (SON). The Academic Advisor works with students to identify appropriate academic opportunities and strategies throughout the program and helps students adapt to university life, ensuring clear understanding of course requirements, policies and procedures for successful completion of the program. Academic Advisors routinely consult and work with faculty and other administrative offices such as Admissions, Financial Aid, Registrar, Enrollment Management and Student Affairs, and Academic Affairs. This position reports to the Director of Academic Advising.

Specific Duties & Responsibilities

ESSENTIAL FUNCTIONS:

  • Serve as liaison to Registrar's Office, Admissions, Enrollment Management & Student Affairs, Financial Aid Office, and Academic Advisors at other schools/divisions within the University, and faculty to facilitate student enrollment, retention, progression and graduation.
  • Interpret the degree requirements as well as SON policies and procedures to students.
  • Participate in the prospective and admitted student events (Open House Events, Accepted Student Day, New Student Orientation, Receptions, Information Sessions, etc.).

    Progressions:
  • Advise students about sequencing of classes and the registration process, including planning class schedules.
  • Identify learning strategies and study skills for students in both face-to-face as well as online courses.
  • Troubleshoot student issues and concerns, referring students to support services needed to facilitate academic success.
  • Offer group advising sessions to students in their first semester and subsequent semesters of the program.
  • Track students who are on Leave of Absence or otherwise out of sequence in their coursework and degree progression.
  • Maintain and update students’ plans of study in the (POS) system.
  • Run and analyze reports in the POS system to ensure students are on track and enrolled in required courses each semester.
  • Complete University paperwork to update nursing student records.
  • Maintain student databases and academic files in compliance with regulatory and accreditation standards.
  • Monitor nursing students’ academic progress toward degree requirements and communicate with students about academic standing.
  • In consultation with course faculty, initiate appropriate interventions for those in academic jeopardy and, if needed, refer to the Program Director and/or the Associate Dean for Enrollment Management and Student Affairs.
  • Work closely with the Director of Student Affairs and Manager of the Academic Success Center to connect students to campus resources.
  • Represent students who are referred to the Progressions Committee and communicate outcome to affected students.
  • Monitor students who are on Academic Probation in compliance with terms of probation.

    Graduation:
  • Assist with Commencement planning as needed.
  • Participate in SON Commencement ceremonies.

    Other/Administrative Duties:
  • Serve on relevant program committees at the SON and JHU advising committees across campus.
  • Compile and analyze academic data for the Office of Academic Affairs.
  • Advise students on National Council Licensure Examination (NCLEX RN) preparation and registration process.
  • Arrange for NCLEX preparation courses for each graduating cohort.
  • Become a trained ATI proctor and assist with proctoring exams as needed. Also assist with basic duties including running ATI reports and providing data to faculty, or other ATI duties as assigned by the ATI Coordinator.
  • Provide presentations on professional issues.
  • Serve as liaison to committees ensuring that members have the necessary data and materials to make informed decisions, and attend such meetings to provide relevant input.
  • Provide team leadership to ensure that work projects associated with progressions and graduation are complete and accurate.
  • Maintain multiple cohort Blackboard sites as vehicles of communication.
  • Attend cross-campus advisor meetings and/or conferences to stay current with best practices in academic advising at the graduate level.
  • Assist the Academic Program Administrator for the MSN (Entry into Nursing) Program as needed.

Minimum Qualifications(Required)

Master's degree required. Three years progressively responsible experience in academic advisingor related experience in higher education administration required

Preferred Qualifications

RN license.

Experience in the health professions or with professional students.

Special Knowledge, Skills, and Abilities

Ability to interact productively with faculty, administrators, students and others. Knowledge of student enrollment and retention issues and literature, as well as knowledge of current professional student population needs and impediments to persistence needed.

Outstanding oral/written communication and consensus building skills.

Excellent organizational skills as well as demonstrated success in providing friendly, high quality service with effective outreach abilities.

Ability to interpret, apply and abide by the Federal Education Rights and Privacy Act (FERPA); ability to work with diverse populations; ability to analyze and interpret student transcripts, associated records and documents; ability to explain complex School of Nursing policies to students, university advisors and the public; proficiency in Excel, Windows, Word or other word processing software.
