General Summary/Purpose:

The Academic Program Administrator position provides a broad range of administrative support for the School of Nursing Doctor of Nursing Program Nurse Anesthesiology Track (NAT). This role requires strong organizational skills, independent decision-making, and good communication.

Specific Duties & Responsibilities:

Works closely with program director and faculty on issues related to developing and implementing processes, procedures, policies, and systems for the operation of the DNP Nursing Anesthesiology Track.

  • Provide administrative support to the Nurse Anesthesiology Program Director and faculty including preparing agendas and taking minutes of meetings and maintaining electronic files.
  • Manages all program processes with a continuous performance improvement approach to assure ongoing efficiency and effectiveness of the program
  • Follows FERPA regulations in maintaining confidential student information.
  • Manage database entry, maintenance, and reports and compile data and statistics for monthly, semester, and yearly reports. Coordinate the development and implementation of student and employer databases.
  • Assists Nurse Anesthesia Director to develop program budget and budget projections and manage within the budget. Documents any budget variations to guide future budget development.
  • Maintains data on student leaves of absence, drop out, graduation and certification rates.
  • Maintains employment data on all program graduates.
  • Works closely with the Academic Administrator of the DNP Advanced Practice Program and Director of the DNP Program to assure that all DNP Program Policies and SON policies are followed.
  • Collaborates with the Admissions and Student Affairs staff on issues and events related to student recruitment, interviews and admissions decisions.
  • Prepare electronic programmatic handbooks, presentations, letters, and reports.
  • Designed, developed, maintained, and updated program web sites as assigned.
  • Successfully collaborates with the Director of the DNP Program in preparing for School of Nursing Accreditation by the Commission on Collegiate Nursing Education (CCNE). Coordinate and prepare for accreditation for the Nurse Anesthesia Program by the Council on Accreditation (COA).
  • Collaborates with the staff of the Clinical Placement Team to assure that all appropriate information has been added to the web-based clinical placement database including the student, faculty and agency data regarding clinical placements
  • Enter all student data into National Board of Certification and Recertification of Nurse Anesthetists (NBCRNA) system at beginning and end of program.
  • Ensure compliance with Federal, State, and Local laws, regulations, codes, and/or accreditation standards.
  • Manage logistics associated with events including venue selection, catering, audio-visual, invitation designs, and budget development, as well as overseeing travel arrangements for faculty and guest lecturers.
  • Coordinate orientation packets and orientation events in collaboration with Academic Administrator for the DNP Advanced Practice Program
  • Recruit and manage graduate student employees which includes assigning work, setting priorities, directing training, and setting work schedules.
  • Track and analyze trends data, compile data and generate reports related to recruitment, admissions, progression, and graduation
  • Coordinate Nurse Anesthesiology Track Calendar of Events; schedule events and communicate important deadlines.
  • Liaise in close cooperation with students, faculty, clinical sites, and vendors to fulfill University initiatives.
  • Responsible for tracking student compliance with licensure, certifications, clinical policies for SON and clinical sites.
  • Represent the program in administrative matters. May include issues pertaining to space, facilities, technology, student information system, classroom support.
  • Compile data, generate substantive reports, and analyze trends, and make recommendations accordingly. Reports can be for department faculty and administration.
  • Other duties as assigned

Minimum Qualifications(Required)

Bachelor's degree.

Three (3) years progressively responsible experience in program administration in an academic environment.

Additional education may substitute for required experience, to the extent permitted by the* JHU Equivalency Formula:18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

Special Knowledge, Skills, and Abilities

Excellent interpersonal, oral, and written communication skills.

Excellent computer skills (internet and software applications; word processing, spreadsheets, presentations, grant preparation, managing the electronic calendar and calendar invites).

Experience with database management.

Knowledge of APA format

Facility in using Microsoft Teams.

Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
