- The Administrative Supervisor is expected to resolve problems between employees as well as complaints from patients, upper management and outside contacts.
- This process includes collecting information from all of the involved parties, reviewing the evidence and making a decision that will resolve the problem.
- Familiarity with university policies and a firm understanding of a patients’ needs are central to performing this aspect of the job well.
Supervisory responsibility (indicate the number and type of persons supervised by incumbent):
- Oversee the overall operations of two individual Divisions.
- Supervise 3 or more administrative/sr. surgical schedulers
- Oversee time and attendance for 5 Advanced Nurse Providers via E210
- Maintain time off for vacation, sick and conference time for all MD’s in the Division of Gynecologic Specialties.
- Budget authority (indicate dollar amount of budget managed and type/level of authority):
- Assists with staying in budget for supplies which include, but not limited to:
- Office Supplies, Furniture, Computers, printers, scanners, Re-build of offices, Electrical work, Telecom additions, deletions, repairs, and IT related issues (adding ports, installing satellite, etc)
- Authorized to purchase and approve items up to $3,000.
- High School Diploma or GED required.
- Five (5) years progressively responsible administrative experience required.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
JHU Equivalency Formula:30 undergraduate degree credits (semester hours) may substitute for required experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
Preferred Qualifications:
- Responsible administrative experience including experience managing people, in the medical field and customer service.
Special Knowledge, Skills, and Abilities:
- Administrative Supervisor candidate must have minimum 5 years of management experience.
- EPIC experience to include, but not limited to, template building, report management.
- Report management involves creating reports from information obtained thru EPIC and other sources that will provide our providers with real time information on the number of patients seen, completed appointments, bump rates, cancellation of clinics and endless data that will help them visualize where they are and what needs to change.
- In some cases, due to software issues, may need to manually calculate data.
- Proven skill/experience in Word, Excel, PowerPoint, Tableau, SAP.
- Must have proven Customer Service experience for minimum of 5 years.
Technical qualifications or specialized certifications:
- Must be EPIC certified with specialized training in all Microsoft Word packages.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
