Program Coordinator

General Summary/Purpose:

The Program Coordinator supports the programs and day-to-day operations of the Office of Postdoctoral Affairs (OPDA) which serves ~1200 postdoctoral research fellows who work in the School of Medicine and is part of the Office of the Vice Dean for Education. The program coordinator is responsible for administrative activities and for providing logistical support for postdoctoral programs.

The position reports to the Associate Dean for Postdoctoral Affairs, and works closely with a number of offices and organizations, including the Professional and Career Development Office, Marketing and Communications, Office of International Services, Office of the Registrar, the Johns Hopkins Postdoctoral Association, and others.

Specific Duties/Responsibilities:

Specific administrative responsibilities include:

  • Manage day-to-day office activities, including answering or forwarding to the appropriate person OPDA emails, scheduling meetings and events for the associate dean and OPDA programs, and ensuring that the website is current.
  • Collect, develop and disseminate information on research training, funding opportunities, and career development programs.
  • Provide logistical support for the appointment and onboarding of new postdoctoral research fellows.
  • Exercise independent judgment in resolving administrative problems.

Program Planning and Coordination:

  • Assist with planning, organization, and implementation of orientation sessions, workshops, and webinars for postdocs.
  • Coordinate event calendar and ensure rooms (or zoom), resources and speakers are secured for all planned events.
  • Create databases to track event registration and event evaluations for programs.
  • Distribute program materials and evaluations to trainees following appointments and events.
  • Assist with registration at events.
  • Create monthly reports detailing attendance and program evaluation.
  • Assist with preparing materials for events and event coordination.
  • Provide support with food and required resources for events.
  • Assist with post-event clean up.
  • Provide logistical support for OPDA advisory committees, to include helping with agendas, collecting materials, taking minutes, etc.
  • Coordinate with other offices on jointly sponsored workshops and sessions for postdocs
  • Monitor and support the Individual Development Plans (IDP) program to include tracking completion of IDPs, researching barriers to completion.
  • Serve as resource to postdoctoral fellows.
  • Represent the OPDA as requested on School of Medicine or University committees and task forces.

Minimum Qualifications:

  • High School diploma/GED required.
  • Five (5) years related experience required.
  • Additional education may substitute for required experience to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula:30 undergraduate degree credits (semester hours) may substitute for required experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications:

  • Bachelor’s degree preferred.

Special Knowledge, Skills, and Abilities:

  • Excellent oral and written communication skills.
  • Excellent organizational skills.
  • Proficient in Microsoft Office Suite.
  • Experience using social media and other digital resources as a communication tool.
  • Demonstrated ability to plan and manage events, including logistics.
  • Knowledge of postdoctoral training programs a plus.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
