Job Description:
This is a highly visible and responsible position that provides project management support for UF Advancement with a focus on the implementation of key projects related to software development. Reporting to the Associate Director of Project Management & Business Process. This position serves on the Project Management & Business Analysis team to ensure best practices in project management, business analysis, and change management. Project Management & Business Analysis collaborates closely with Advancement teams on institution-wide strategic initiatives to develop, document and implement departmental and organizational priority projects, process improvements, and procedures. Flexible remote work opportunity currently available.
Role and Responsibilities:
Planning
- Assist in the annual identification and defining of
organizational priority projects.
- Participate in the prioritization of Advancement’s annual
projects in alignment with organizational goals, strategies, and
mission-critical activities.
- Partner with key stakeholders in designing solutions to solve
organizational needs, maximizing resources and efficiencies,
including but not limited to custom software solutions, workflow
design, and system sustainability.
- Develop project charters to define business need/impact, risks,
deliverables, and deadlines for assigned projects.
- Establish and lead high performing project teams to deliver
project solutions, document tasks, assignments, and establish
timelines for project delivery.
Execution & Monitoring
- Lead, monitor, and manage project team tasks, assignments,
and timelines to ensure timely delivery of projects.
- Identify obstacles, devise solutions and maintain management
system to ensure timely resolutions.
- Prioritize multiple assignments and execute strategies
within limited timeframes to meet deadlines, ensuring project
deliverables are met.
- As needed, partner with the business analysis and process
team to document business rules that align with technical
documentation for all data-related projects.
- Develop business rules and support materials in
collaboration with key stakeholders and project teams to provide
framework that leads to successful implementation and
sustainability of projects.
- Distribute materials to appropriate stakeholders, develop
and create databases, and implement efficient workflow
systems.
- Develop materials successfully communicating business owner
vision and project expectations.
- Summarize thoughts, ideas and notes from project meetings
and distribute to appropriate stakeholders in a timely
fashion.
- Demonstrate flexibility, teamwork and creativity in
effectively addressing challenges and adjusting project plans as
needed.
- Assist with the collection, analysis and display of data in
charts, tables or other formats to support project execution.
- Report the progress of initiatives back to the Associate
Director; gather information, organize and present ideas, materials
and recommendations clearly.
Communications & Change Management
- Serve as convener, facilitating workgroups, meetings,
engaging in appropriate conversations with internal/external
stakeholders, conducting appropriate research to support strategies
and creating roadmaps to advance priority projects.
- Effectively communicate project expectations, including
documentation and quality assurance, with workgroup teams and
report on the progress of assigned projects, both internally and
externally, to ensure successful implementation and delivery of
value to partners.
- Work with stakeholders to develop a comprehensive rollout
plan that includes training materials, an internal communications
plan, and transition plan for long-term sustainability.
- Partner to develop a formal close out and transition to
business owner process that stewards projects through
adoption.
- Partner with analysts to develop and coordinate a project
intake process that governs large scale projects with technology
impacts.
- Assist with the tracking and management of documentation
deadlines and milestones within projects.
- Ensure compliance with all University of Florida and
Advancement regulations and best practices in office systems,
practices, file maintenance and record keeping; ensure effective
use of strategic tools and resources with the Vision of TB2 and
S.E.T. Values.
- Contribute to a project team environment that fosters trust
and facilitates solution-oriented discussions ensuring optimal
organizational solutions.
Salary commensurate with education and experience.
Minimum Requirements:
Bachelor’s degree or an equivalent combination of education and experience.
Preferred Qualifications:
The ideal candidate will possess:
- Two years of project management experience.
- Experience working in software development or as part of a
conversion team highly preferred.
- Demonstrated ability to develop business process models.
- The ability to communicate clearly and effectively with diverse
constituencies, meet deadlines, be self-motivated, and work
independently.
- Accuracy, attention to detail and a customer service oriented
attitude.
- Ability to work collaboratively and a team player.
- Excellent analytical and problem solving skills.
- Ability to organize resources and establish priorities.
- Ability to gather data, compile information and prepare
reports.
- Must be an outstanding communicator and possess excellent
written and verbal communication skills; interpersonal skills; and
the ability to work collegially and interact effectively with a
diverse constituency.
- An appreciation for and support of diversity in the workplace
in all its forms; proven success working with stakeholders; project
management skills; experience in a data-driven environment;
organizational skills; and the ability to lead, influence and
motivate others are required.
- Working knowledge in these areas: Windows, Microsoft Word,
Microsoft Excel, Microsoft Access, internet browsers, preferably
Internet Explorer, E-mail. Working knowledge of a donor database,
contact management and tracking system.
