Working Title: Student Services Coordinator Official Title: Student Services Advisor Employment Class: Academic Staff FTE: 1.0 Compensation: $43,010 FLSA Status: Exempt Terms of Employment: 12-month, Fixed- term renewable Position Summary: The Student Services Advisor is located in the Student Affairs Office on the Fond du Lac Campus and is a strategic member of the Solution Center. Student Services Advisor is responsible for providing professional academic and career advising to new and continuing students with additional direct responsibilities in the areas of financial aid, student accessibility, recruitment and retention. Responsibilities
35 % Advising

Provide academic and career advising for new and continuing students in efforts that students successfully complete their academic curriculum and are provided career activities to maximize their career opportunities in the current educational environment.

1. Academic Advising – Meet with students to determine appropriate course selections to fulfill their selected academic curriculum.
  • Interpret placement test scores and direct students to the proper course selection
  • Provide guidance and direction to selected students for certificates and degrees
  • Network and build cooperative and collaborative relationships with staff at transfer institutions to ensure timely and smooth transitions of students/information
  • Coordinate and administer enrollment of high school students involved in concurrent enrollment


2. Career Advising-Perform skill sets/needs/career assessments and related activities with and for students

  • Review and interpret career assessments with students
  • Identify needs and provide guidance for students pursuing internships
  • Administer and/or network with area and potential employers to be a conduit/resource for students or to coordinate career planning/job/employment events

35% Student Servicing

Identify and guide students through any/all additional needed/determined/related academic or non-academic assistance or intervention programs required to complete the academic curriculum.
  • Perform/identify individual and/or group needs activities/assessments for undecided students/groups and provide or refer resources for these individuals/groups
  • Provide direction and resources for students who need accommodation services, including process, documentation required, connection to Accessibility Services to meet with the Accessibility Coordinator and advise students on protocol/process for disseminating accommodation plan to faculty.
  • Identify, determine, and implement and/or refer assistance strategies/plans/programs for identified “at-risk” and “probation” students in efforts for the student(s) to achieve academic success
  • Guide students through the transfer process (as needed) and provide all necessary/additional administrative support to ensure successful transfer
  • Advise and guide students to meeting Academic Actions Committee determinations. Review completed student appeals and follow up with required updates
  • Identify and refer students requiring additional specific services/expertise to the appropriate staff/department/area/administrator (admissions, financial aid, veterans, accessibility, student conduct and enrollment services, etc.)
  • Collaborate with the Student Accessibility Services Coordinator. Advise students on protocol/process for disseminating accommodation plan to faculty.

10% Financial Aid/Scholarship Support

Provide Administrative related program support

1. Financial Aid- Meet with students to inform, review, and sign off on required documentation when necessary and follow through with timely follow-up regarding any/all application/review update(s) and/or status(es). Refer students to appropriate staff/departments when appropriate and as needed. Specific duties include:

  • Complete consortium agreement forms and submits to the Student Financial Aid Office
  • Help students notify the Financial Aid Office of campus scholarship awards incorporated with student’s aid package
  • Support students with academic support services and resources as they pertain to SAP and other Financial Aid decisions made.
  • Connect Veteran students to the Veteran’s Coordinator and/or appropriate support(s) individual(s)/department(s).


2. Scholarship- Support the Foundation with any tracking, coordination, application status or academic situations to all appropriate departments/areas. The Student Services Coordinator is the campus liaison to the scholarship committee.

10% Recruitment and Retention Programs

Perform administrative and related support duties for campus recruitment and retention efforts/programs.

  • Performs needs analysis and assessments for the campus and institutional as requested. Provide learned/related information regarding student populations for campus programs/projects/initiatives related to recruitment and retention of new and currently enrolled students.
  • Participate (as needed or assigned/delegated) in registration/enrollment events, orientation events, placement test events, campus visits/tours, etc.

5% Student Accessibility Services

Serve as the campus contact for Student Accessibility Services and perform any/all administrative and related support duties at the campus level.

  • Assist with identifying and resolving accessibility service needs as required. Meet students to review and complete accessibility paperwork and forward any/all paperwork and supporting documentation to the Accessibility Coordinator in Accessibility Services. Advise students on process for disseminating accommodation plan to faculty.
  • Review and send requests for alternative formats of course materials to the Alternative Textbook Coordinator.
  • Collaborate with instructors to organize student note taking.

5% Other Duties

  • Provide direction and lead student workers in the Student Affairs Office. Disseminate updates to students as provided/appropriate. Coordinate student schedules/coverage.
  • Provide administrative tracking and support for the annual student satisfaction survey and ongoing assessment of the Solution Center.
  • Participate and contribute to any/all assigned and/or elected/assigned governance activities.


Qualifications

Required:
  • Bachelor's degree
  • Experience working in a student services or advising office in higher education, or closely related.
  • Demonstrated effective organizational skills to manage multiple and shifting tasks/demands to meet timely deadlines.
  • Demonstrated commitment to equity, diversity, and inclusion
  • Working and applied knowledge and experience analyzing academic course prerequisites, requirements, schedules, needs.
Preferred:
  • Master’s degree
  • Specific experience with and/or working knowledge of academic and career advising in higher education with accompanying polices, practices, and procedures.
  • Experience providing lead direction or supervision.
  • Knowledge of financial aids (applicable federal, state, private loans, scholarships, etc.) and accompanying processes (i.e. FAFSA)
  • Familiarity with ADA (Americans With Disabilities Act) and related policies
  • Working knowledge and understanding of academic student conduct (UW System Chapter 14)
  • Working knowledge and understanding of non-academic conduct (i.e. Title IX, UW System Chapter 17 and 18)
  • Working knowledge of any/all student and/or higher education federal state regulations/policies (FERPA, Clery Act, etc.)
  • Familiarity and experience with higher education transfer programs, policies, and software (e.g. Transferology)
  • Working knowledge and effective usage of MS Office and/or closely related software and computer/fax/office equipment hardware
