Schedule Information: Monday - Friday, 8:00am - 4:30pm

Hours per Week: 37.5 Hrs/Week

Work Conditions: Work is primarily indoor and sedentary in nature.

Duties of Position: Assists with the recruitment process for vacant positions by working with various departments throughout the recruitment life cycle. Provides training and support to both internal and external users concerning the applicant tracking system, background check process and the hiring process. In addition, this position provides administrative support to the Human Resources department including analyzing applicant tracking system, looking for operational efficiencies and suggesting user enhancements.

Assists with the recruitment process for vacant positions; including working with various departments throughout the recruitment life cycle.

Creates and/or reviews and opens job postings for workforce approved positions

Serves as primary contact for all recruiting questions via telephone, e-mail and in person.

Provides ongoing technical assistance to applicants and departments utilizing the on-line recruitment system, as well as verifying and preparing proper applicant paperwork; such as, transcripts, letters of recommendation, teaching statement, etc. System involvement also includes scanning hard copy documents and attaching appropriately to the system.

Trains supervisors, managers, and other staff to utilize the applicant tracking system as appropriate. This includes one-on-one training as well as group workshops.

Coordinates the Workforce Request process including receiving requests from all departments and collating into a workforce request document for Executive Council.

Compiles and sends a list of new jobs to the Communications Manager for inclusion in InsideHarper on a weekly basis

Recommends updates to the system and monitors service requests. Ensures related compliance with appropriate rules, regulations, and reporting. Researches and makes recommendations for developing other modules of the system to use it to its full functionality.

Troubleshoots/resolves problems with recruiting process, the applicant tracking system and the background check vendor as needed. Reports system issues to appropriate vendors and tracks progress. Evaluates new system functionalities to determine usability in the Harper process. Provides software testing assistance as necessary

Prepares materials for workshops. Assists with organizing workshop details including monitoring attendee responses and answering questions regarding the workshops.

Provides administrative support for Human Resources, including but not limited to, enhancing and maintaining the HR webpage; purchasing office supplies; drafting correspondence; scheduling meetings and conference calls as appropriate; and preparing material for meetings.

Provides customer service and answer questions for College employees. Provides assistance as needed with the preparation of materials, reports, and surveys. Prepares reports and correspondence to internal and external constituencies.

Assists in creating/maintaining confidential records and files for student worker employees, as well as entering data into various HR systems.

Assists with the development and maintenance of electronic offer letters

Provide backup to other areas of Human Resources

Represents Harper College at Job Fairs and Conferences as needed.

Maintains the confidentiality of the department

Performs related duties as assigned.

Educational Requirements: Associate Degree required, Bachelor’s Degree preferred with good keyboarding and computer skills. Excellent customer service and communication skills.

Experience Requirements: Two years customer service and general office experience with public contact experience required. Proficiency with Microsoft Word, Excel, and PowerPoint required. Knowledge of applicant tracking systems desired. Previous experience facilitating employment recruiting preferred. Experience in an educational administrative setting and experience conducting training and/or making presentations preferred. Bilingual skills a plus. PHR/SPHR or SHRM-CP/SHRM-SCP preferred.
