Responsibilities:
Under the direction of the Dean of the Workforce Development, Adult Education Block Grant (AEBG) and Continuing Education support and assist the Dean, faculty, staff and students. Perform a wide variety of administrative and secretarial duties; serve as a liaison between the Dean, faculty, staff, students and other District and community officials; plan, coordinate and implement on-going operations and activities of the department.

REPRESENTATIVE DUTIES:
1. Plan, schedule, and perform a variety of secretarial duties to relieve the Dean of a variety of clerical, technical and routine administrative duties; serve as a liaison between the administrator and staff, public and other District personnel; oversee the daily operations of the department.
2. Proofread, edit and assist the administrator in the preparation and development of class schedules, class locations and work assignments as assigned for publication; may assist in facilitating campus programs or events.
3. Collect and compile statistical and financial data and other information for inclusion into special and periodic reports.
4. Collect and process preliminary curriculum review and new curriculum proposals; edit College catalog sections pertaining to the Division to assure completeness and accuracy; implement catalog changes in class schedule and course outlines.
5. Prepare, process and distribute budget transfers; research and compile data necessary to purchase Division instructional and office equipment; monitor each discipline's projects and grants accounts and maintain budget expenditures.
6. Serve as liaison with Payroll and Human Resources in regard to the appropriate budget for faculty load/salary, hourly academic and classified employees; generate various contracts.
7. Prepare and supervise absence reports for full-time and part-time faculty and classified employees; prepare, process and distribute hourly classified and student timesheets and consultant contracts.
8. Prepare agenda and handouts; schedule discipline meetings; assist in compiling research materials for annual long range planning development proposal.
9. Arrange and schedule a variety of meetings and conferences; operate and maintain electronic calendar; make travel arrangements and process District travel forms.
10. Perform related duties as assigned.


Knowledge and Abilities:
MUST HAVE KNOWLEDGE OF: Office management principles and methods; modern office practices, procedures and equipment; operations/procedures of computer systems and multiple computer software programs; record-keeping techniques; correct English usage, grammar, spelling, punctuation, and vocabulary; interpersonal skills using tact, patience and courtesy; telephone techniques and etiquette; oral and written communication skills.

MUST HAVE ABILITY TO: Perform complex secretarial assignments; assemble diverse data, prepare and compose reports, correspondence and related materials from oral and written directions and related materials; maintain complex and varied files and records; work independently with minimal direction; plan, organize, coordinate, prioritize, perform, and delegate work; analyze situations accurately and adopt an effective course of action; record and transcribe dictation at an acceptable rate of speed; interpret and apply specific rules, policies, and procedures for the department and District; establish and maintain cooperative working relationships with others; work confidentially with discretion; make simple arithmetic calculations; meet scheduled timelines; communicate effectively with others, both orally and in writing; prepare reports, correspondence and related materials.


Education and Experience:
Any combination equivalent to: two (2) years college-level course work in Office Information Systems
AND
Two (2) years secretarial experience.

Desirable Qualifications:


Salary
Range 20, Steps 1-7, $4,152.76-$5,253.81. Initial placement for external applicants is Step 1. An excellent benefits package which includes medical, vision, dental, retirement, vacation, and generous sick leave package.

Work Schedule:
Monday-Friday: 7:30 a.m. - 4:30 p.m. (Approximately). Work schedule may be adjusted to meet the needs of the department. Successful candidate may be assigned to any of the campus sites (Chula Vista, National City, Otay Mesa, and/or San Ysidro).
